Responsibilities
- Review and prepare all A/P voucher packages to ensure that they have all of the required documentation and that all A/P procedures have been properly followed, to include:
- Appropriate approval prior to purchase
- Ensure programs are receiving and reviewing invoices for accuracy.
- Reasonable account distribution.
- Process and enter all properly prepared A/P vouchers into the accounting system and prepare batches for submission to supervisor for approval and posting.
- Set-up and manage recurring A/P batches in the Great Plains system (i.e. Rents, monthly utility batches, monthly contract payments, etc.).
- Process approved batches through check preparation and distribute checks. Assist with ACH Vendor payments online and process manual payments.
- Assist with vendor calls and contact vendors to resolve A/P issues. Review vendor monthly statements and contact vendor on any discrepancies.
- Assist Accounts Payable Audit Clerk in editing AP batches.
- Assist with all A/P policies and procedures, including proper bidding procedures are followed and appropriately documented.
- Assist with managing W-9 vendor forms, semi-annual vendor letters, reports, etc. for accounting system.
- Perform other duties as assigned.
Qualifications
Education: High School Diploma or GED.
Job Summary: Complete and manage all Accounts payable processes from receipt of invoice. ACH payments and check processing.
Work Environment
Work Week: Monday - Friday (8 hours per day between 7:00am - 6:00pm). Overtime as required.
