What You Will Do
Manage schedule, prepare reports, provide travel and meeting support, expense processing, and general administrative support for the President Biosurgery.
Provide administrative support for the Biosurgery leadership team, including functional leadership team with respect to meeting organisation, among other tasks.
Support/plan large scale external team events and internal office meetings on site. Liaison with leaders in different regions to schedule events, agendas, etc.
Help to organise staff meetings and proactively work with leaders to determine key topics.
Facilitate legal, regulatory, and compliance processes, among others, including required reporting (as directed), documentation coordination, signature capture, and submission of required documents.
Create a monthly newsletter for Biosurgery organisation and work with leaders to determine information to be shared monthly.
Create solid working relationships with others within the company.
Work professionally with executives and clients, think and work independently, be proactive, handle confidential information and work effectively and efficiently.
Other ad hoc projects as assigned.
Act as Office Manager by managing some administrative tasks, coordinating office activities, and supporting leadership
What You Will Need
Bachelor’s degree preferred.
5 years of experience as an administrative assistant supporting globally operating executives.
Experience in a Pharmaceutical/Biotech company or professional services firm preferred.
Must be business fluent in English and German.
Strong oral and written communication skills, including strong listening skills.
Strong attention to detail and follow-through.
Self-Starter with logical thinking and able to proactively address needs.
Ability to maintain confidentiality of information at all times.
Adaptable, ability to prioritise and organise work, as well as be flexible and coordinated with shifting priorities deadlines.
Ability to work with a variety of different personalities; excellent stakeholder management.
Ability and experience to work across multiple time zones simultaneously
Ability to work independently to determine methods and procedures on new assignments with drive to improve efficiencies and effective methods and procedures.
Highly organised and very effective time management skills.
Microsoft Office: expertise in Word, PowerPoint and proficiency with Excel.
