Location: Kelowna, Hardy

Pay Range: $38,000-$47,000 per year

Job Summary

We are currently recruiting for a Full-Time Associate, Office Administration working reception and the mailroom at our Kelowna, Hardy location. The Associate, Office Administration provides a positive experience for any client or Acera team member who walks or calls into the office. Reception is the first point of contact for clients and is accountable for welcoming clients and navigating their inquiries. The Kelowna Hardy mailroom functions as the central mailroom for Acera BC servicing 17 offices across BC and one in both Ontario and the Yukon. The successful candidate will have strong organizational and problem-solving skills and work well in a fast-paced environment.

Roles & Responsibilities:

Reception:

  • Welcomes visitors by greeting them in person or on the multiline phone system.
  • Answer or referring inquires; trouble shooting for any urgent calls
  • Daily set up of reception desk; lights on, log in, check voice mail box and record important messages to be forwarded
  • Organizes courier deliveries, appointments, premium payments and walk ins.
  • Maintains office space and kitchen supplies
  • Booking meeting rooms and IT requirements as requested
  • Maintaining coffee stations by cleaning and stocking

Mailroom:

  • Shipping mail items with various couriers such as Canada Post, ICS, Purolator, and Loomis
  • Receiving and distributing incoming mail items from various couriers.
  • Sorting and distributing paper insurance policies into specific categories
  • Scanning paper Commercial Lines policies and attaching them in CRM
  • Downloading electronic policy files from various online platforms and attaching them to the client files in Epic
  • Supporting team members with print/mailing requests as needed
  • Ordering shipping and office supplies as needed
  • Managing Iron Mountain and archived files
