We are a group of rapidly growing essential businesses looking for a responsible and efficient ‘Office Administrator’ to join our expanding team, on a Permanent - Full Time basis.
Working days / hours will be Monday to Friday 9:00 am to 5:00 pm. Flexibility with these hours including working additional (paid) hours outside of the stated window of time and/or on the weekends, if and when needed, will be considered a plus. This position will be working closely with and receive instructions from the Office Manager, Operations Manager, Managing Director, Clients and other personnel related to other ventures owned and/or operated by the owners of the company.
Responsibilities:
- Ensure the efficient and smooth day-to-day operation of the office
- Answer and direct phone calls
- Provide general support to visitors
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence, faxes etc.
- Data entry
- Assist in the preparation of scheduled and ad hoc reports
- Develop and maintain a filing system
- Assist with ordering and stocking of office supplies and inventory
- Book, schedule, coordinate, organize and arrange interviews, travel, training, information sessions and meetings
- Act as the point of contact for internal and external clients
- Liaise with clients, suppliers, employees and management to handle requests and queries
- Accept, stock and replenish deliveries
- Keep office, meeting rooms, storage, kitchen area and hallways clean and tidy
- Providing support to management and other team members for holiday or break coverage.
- Assisting colleagues and managers with office and management tasks assigned from time to time.
Requirements
- Proven experience as an administrative executive or office admin assistant
- A quick learner who thrives in fast-paced working environment
- Proficiency in MS Office (MS Excel, MS Word, Outlook and MS PowerPoint, in particular)
- Must be well versed in use of timekeeping, scheduling and document management tools such as Google Calendar, Google Drive, Drop Box etc.
- Must be proficient in use or technology and learning new tools and skills
- Working knowledge of office equipment, like printers, scanners and fax machines
- Strong communication skills and must be completely at ease working with people in person, over the phone and in a variety of written formats (e-mail, letters, etc.)
- Strong organizational skills with the ability to multi-task
- Sound inter-personal and team skills
- Excellent time management skills and the ability to prioritize work
- Must be thorough with keen focus and attention to details.
- Must be able to follow instructions and Standard Operating Procedures as directed.
- Well developed decision making and problem-solving skills
- Excellent written and verbal communication skills
- Must fully understand and observe general standards of conduct. Must have excellent worth ethics expected in a professional environment such as punctuality, timeliness, efficiency, time management, dress code, professionalism in communication.
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
- Some duties may require climbing stairs and lifting heavy objects
- Experience in health care industry will be considered a plus
- Valid drivers license and access to vehicle will be is considered a plus
The successful candidate will be required to undergo computer and clerical skills testing and will need to provide two references of past direct supervisors. Finalized candidates may also be subject to Criminal Record check, Drivers Safety Rating.
