Role Overview & Opportunities
As a Front Desk Receptionist, you will be the first point of contact, managing all front desk operations and embody the clinic's philosophy of attentive and personalized care. You will also be the creative force behind our social media to expand our digital presence, engage with our community, and contribute to our clinic’s growth and success in the exciting world of medical aesthetics.
Ideal Candidate
The ideal candidate is a versatile, energetic individual skilled in customer service and social media management. They should excel in multitasking, creating a welcoming atmosphere at the front desk, and effectively boosting the clinic's social media presence.
Job Responsibilities:
- Managing all front desk operations, including greeting clients, answering phones, and scheduling appointments.
- Providing information about our services and treatments, tailored to each client's needs.
- Ensure efficient and timely scheduling of the clinic and manage patient expectations.
- Maintaining the highest standard of clinic presentation and cleanliness.
- Managing patient records with confidentiality and precision.
- Uphold meticulous attention to detail in all aspects of the clinic’s operations, from intake to the overall client experience.
- Upholding clinic policies and procedures, contributing to a safe and professional environment.
- Develop and manage our social media presence across platforms (Facebook,
LinkedIn, TikTok, Instagram), ensuring content aligns with our brand values and objectives.
- Create compelling, relevant content – from posts and images to videos – that resonates with our audience and amplifies our brand story.
- Implement and adapt our social media strategy, staying abreast of trends and cultural shifts.
- Video production and editing, showcasing our services and clinic atmosphere.
- Engage in social selling and monitor performance metrics to refine strategies.
- Collaborate with the team for creative content ideas, maintaining brand standards and guidelines.
- Collaborate and support the team for a cohesive working environment.
- Participate in education events and training opportunities for development.
- Other duties as required.
Qualifications
- At least 3 years’ experience delivering quality service to patients, customers or clients.
- Proven ability to establish rapport and build relationships.
- Proficiency with Vagaro software or comparable scheduling software is preferred.
- Experience in retail sales, point-of-sale, and invoicing.
- Experience with using before and after photography.
- Experience with event planning, social media management, and e-newsletter communications
- Fluent in scheduling software and rebooking practices to ensure client retention.
- Attention to detail with patient and clinic confidentiality, medical information, safety, procedures, and protocols.
- Exceptional ability to manage time efficiently and prioritize multiple tasks simultaneously.
- Excellent verbal and written communication skills including an exceptional phone manner.
- Proven initiative and solution-oriented mind-set.
- Ability to work in a fast-paced environment with strict professional ethics.
- Advanced computer skills and advanced knowledge of Microsoft Office (Word, Excel)
- Proven experience in social media management and content creation.
- Excellent copywriting and editing skills with an exceptional eye for detail.
We Offer:
- A competitive salary of $20-$21 per hour with the potential for performance-based raises.
- 7% Commission on all retail skin care sales (excluding events and no tax days).
- Weekday, daytime hours:
- Monday to Wednesday, from 11am to 7pm
- Thursday, from 12pm to 8pm
- Friday 10am to 5pm
- Occasional Saturdays from 10am to 3pm
