Position Summary
Reporting to the Manager, Business Operations of Park and Facility Services the Service Coordinator works independently and is a service minded individual with excellent organizational skills. The Service Coordinator, establishes work priorities to meet deadlines, exercises judgment and discretion in the handling of all department-related materials, and provides excellent customer service to internal and external clients. This position involves a wide variety of coordination and administrative functions involving confidential and time sensitive materials.

Key Responsibilities
Responsibilities of this role may include, but are not limited to:
- Adhering to all safety and environmental protection programs, policies and procedures to ensure a safe and healthy work environment
- Support and assist the department/organization with the year-round programs, projects and events:
- Ensuring internal and external work is processed, scheduled, monitored and fulfilled accurately promptly and efficiently
- Demonstrate an understanding of the mechanics and theory of product and services delivered by the Park and Facility Services team
- Facilitate and coordinate with contractors to ensure appropriate fire & life safety inspections and work required by the Park and Facility Services team is communicated to ensure the work is completed and deadlines are met
- Apply for building permits and tracking costs and updates on status
- Coordinate and facilitate creating, monitoring, re-issuing and closing of service orders as well as month end procedures
- Support the organization with prompt action to manage, initiate and coordinate both planned and last-minute requests and inquiries in a courteous manner throughout the organization
- Support the department through, including, but not limited to, mail distribution, agenda creation, record minutes, data entry and process information as requested
- Support the development of communication, presentations, and processing of information for distribution to management as required
- Communicate information through written correspondence, oral communication and preparation of reports
- Support the Park and Facility Services team with the implementation and development of Smartsheet/Work Order to meet the new operating model, including facilitating workflow through to Superintendents and Supervisors
- Represent the P&FS team at internal meetings
- Support special projects and program initiatives as assigned
- Other duties to assist with Park & Facilities Operations, as required
Qualifications
The ideal candidate will be proactive, optimistic, working in a dynamic environment where they have experience delivering on multiple priorities and will hold the following qualifications:
- A diploma in Administration or a related field from an accredited college
- Minimum of two years of related professional/administrative services or client services experience
- Accounting and Customer/Dispatch experience considered an asset
- Fire & Life Safety and Inspection experience considered an asset
- Possesses knowledge of business units and how they interact with and support the rest of the organization
- Strong verbal and interpersonal communication skills, ability to communicate in a clear concise manner; required to convey relevant project information to various business units and while dealing with consultants
- Advance knowledge of MS Office Suite (Excel, Word, Outlook and PowerPoint) and database applications
- Advanced knowledge and understanding of Ungerboeck
- Advanced knowledge and understanding of Smartsheet and/or Work Order process
- Strong organizational skills
Working Conditions
- This position takes place in an office environment
- Involves repetitive arm, hand and finger movement. Occasional lifting and carrying up to 20 lb., pushing, crouching, bending, kneeling and reaching. Daily stair climbing.
- Occasional exposure to noise, dust, animal dander and changes in temperature
