The Medical Office Assistant (MOA) is responsible for providing administrative support to the Calgary West Central Primary Care Network (CWC PCN) clinical team and plays a key role in the organization and flow of clinic operations for the CWC PCN. This casual position is located at our Primary Care Centre (PCC) in Calgary. Appointments at the PCC are by referral only for people in need of an appointment within 24 hours and whose doctor is a member of the CWC PCN. This clinic provides an alternative to the walk-in system or a visit to the ER.

The available hours for this casual position include weekdays, weekends, and evenings. The available shifts will vary per week based on clinic need.

Responsibilities

Front desk/reception
  • Responsible for a multi-line switchboard, fielding/directing calls, and relaying messages to appropriate individuals as required.
  • Receives, greets, and directs walk-in clients, vendors, and visitors and responds to general inquiries in a professional and positive manner.
  • Books new and follow-up appointments and provides confirmation calls to patients as required.
  • Faxes outgoing visit notes, consult letters, and appointment notifications to referring physicians.
  • Receives, sorts, and directs incoming packages, mail, and faxes.
  • Supports and monitors physician billing.
  • Collects payment for uninsured services via point-of-sale terminal.
  • Escorts patients to consulting rooms and collects and enters patient vitals in the Electronic Medical Record (EMR).
  • Monitors patient waiting area and assists with ordering taxi services and directing patients to specialist clinics, etc.
  • Ensures clinic is stocked with stationery and general office supplies.
  • Adhering to/maintaining IPC protocols and using appropriate PPE as required.
EMR management
  • Processes incoming referrals and populates/updates/validates patient information in Telus Health's Collaborative Health Record (CHR).
  • Scans and links patient documents in CHR.
  • Accesses medical records via Alberta Netcare.
  • Enters statistical data for collection of key performance measures for organizational and provincial reporting.
  • Supports attachment efforts for unattached patients via the online web registry and the list of physicians accepting patients and documents attachment status in EMR.

Qualifications

Education: Completion of an accredited Medical Office Assistant/Unit Clerk certificate program is required.

Experience: Knowledge of primary healthcare and billing diagnostic and services codes is an asset.

Certifications: A current Health Care Provider CPR certificate (BLS Provider from the Heart & Stroke Foundation) is required.

Functional knowledge: Knowledge of health information privacy regulations and proper handling of confidential and sensitive information is required. Knowledge of medical terminology and medical records management is required. Knowledge of primary healthcare and billing diagnostic and service codes considered an asset. Knowledge of IPC protocols and proper PPE usage is an asset.

Technical: Experience with EMR systems is required. Experience with Telus Health's Collaborative Health Record (CHR) is an asset. Experience with Microsoft Office is an asset.

Background check: A clear Criminal Background check with Vulnerable Sector check is required to start. If you have resided outside of Calgary in the past 12 months, you will need to contact the local police or RCMP detachment in your previous residential municipality to obtain a full report.
