Overview We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office environment, particularly in an Accountant office setting. As the first point of contact for clients, you will play a crucial role in creating a welcoming atmosphere and maintaining efficient administrative processes.
Responsibilities
Implement new administrative procedures.
Review and evaluate new administrative procedures.
Delegate work to office support staff.
Establish work priorities and ensure procedures are followed and deadlines are met
On a day-to-day basis complete data entry, collect transactions, track debits and maintain/monitor financial records.
Review data to ensure accuracy of data input and prioritize projects in order of importance.
Onboard clients and make sure full information has been provided to retain them and have follow-ups.
Correspondence with customers for documentation and due dates.
Data entry into the information filing system and record minutes of meetings.
Skills
Proficient in using phone systems with strong phone etiquette.
Exceptional organizational skills with the ability to manage multiple tasks simultaneously.
Familiarity with filing systems and document management practices.
Strong typing skills for accurate data entry and documentation.
Experience in customer support or customer service roles, preferably within a dental office or healthcare environment.
Ability to communicate clearly and effectively with clients and staff alike.
Proficient in using computer applications relevant to office administration.
