The Dr. Marvin Bailey Professional Corporation is seeking a highly motivated, reliable, versatile, dedicated, and experienced full-time medical office assistant to operate as a booking clerk to join our team to support men’s sexual health concerns including erectile dysfunction, Peyronie’s disease, delayed ejaculation, premature ejaculation, and mildly invasive penile enlargements. This clinic also performs minor surgical procedures including the Shang Ring circumcision, Mogan Clamp circumcision, Frenulectomy, Frenuloplasty, and Vasectomy. There is an opportunity to be cross trained to utilize your skill set in the other companies owned and operated by the Dr. Marvin Bailey Professional Corporation. As a medical office assistant/booking clerk, you will play a crucial role in providing high-quality patient care and ensuring smooth operation of our facility. Our ideal candidate has a diverse and experienced background in medical office administration.
Roles & Responsibilities:
Patient Interaction: Greet patients, check them in for appointments, and assist them with any paperwork or forms they need to fill out.
Appointment Scheduling: Manage the scheduling of patient appointments, including coordinating with physician’s schedules and ensuring efficient use of time slots. In addition, this employee has a mindful and intentional approach when scheduling appointments between patients and the registered nurses as well as consult calls and procedure bookings with Dr. Bailey.
Medical Records Management: Maintain and update patient records, including medical history, treatment plans, ensuring accuracy and confidentiality.
Billing: Responsible for processing private payments/fees for treatments and procedures.
Administrative Support: Provide general administrative support to medical staff, such as answering phones, responding to emails, booking initial consultations, provide the appropriate and necessary information to facilitate the patient to make an informed decision about their program and treatment.
Emergency Response: Assist in emergency situations, such as administering first aid or alerting medical staff, following established protocols and procedures.
Patient Follow-Up: Follow up with patients to schedule appointments, relay test results, and address any concerns or questions they may have after their visit.
Cross-Functional Collaboration: Collaborate with other healthcare professionals, such as physicians, nurses, and medical assistants, to ensure seamless patient care and coordination.
HIPAA Compliance: Adhere to all HIPAA regulations regarding patient privacy and confidentiality, including safeguarding medical records and communicating securely.
Medical Equipment Maintenance: Perform basic maintenance and troubleshooting on medical equipment, such as blood pressure monitors and thermometers, to ensure they are functioning properly.
Maintaining Cleanliness: Ensure cleanliness and organization of the waiting area, exam rooms, and office spaces to create a welcoming and hygienic environment for patients and staff.
Medical Transcription: Transcribe dictations and notes from healthcare providers accurately into electronic medical records (EMR) systems.
Patient Education: Provide patients with information about their medical conditions, treatment plans, medications, and any necessary follow-up appointments.
Continuing Education: Stay updated on medical office procedures, regulations, and technology advancements through continuing education and professional development opportunities.
Qualifications:
Education: Graduation from a recognized MOA program or certificate or diploma in medical assisting, healthcare administration, or a related field.
Medical Terminology: Knowledge of medical terminology is essential for understanding and accurately documenting patient information, diagnoses, and treatment plans.
Computer Skills: Proficiency in using computer software and electronic health records (EHR) systems is often required. This includes word processing, spreadsheet applications, email, and database management. The EMR at this clinic is Input Health.
Communication Skills: Strong verbal and written communication skills are necessary for interacting with patients, healthcare providers, and other staff members in a professional and courteous manner.
Organizational Skills: The ability to multitask, prioritize tasks, and maintain attention to detail in a fast-paced environment is important for managing patient appointments, medical records, and administrative duties efficiently.
Customer Service Skills: A customer service-oriented approach is essential for providing excellent patient care and addressing patient inquiries and concerns effectively.
Ethical Standards: Adherence to ethical standards, patient confidentiality laws (such as HIPAA), and professional codes of conduct is critical in maintaining trust and confidentiality in healthcare settings.
