Major Purpose

Reporting to the Senior Director - Anti-Racism, Equity, and Inclusion (AREI), the Equity and Inclusion Coordinator provides direct administrative, finance, and project assistance to the AREI unit, Taskforce and relevant committees as well as coordinates AREI learning events and capacity building resources for FCM.

The role requires experience in coordination, research, and presentations, a strong understanding of the key concepts of AREI and reconciliation, the ability to pivot from one task or project to another and strong communication, writing, and collaboration skills. The Coordinator, will maintain the highest level of confidentiality, professionalism and exercise good judgment including the ability to escalate to management when help is required and being able to meet deadlines as set out by their direct manager within a fast-paced corporate environment.


Key Responsibilities

  • Supports the Senior Director – AREI, Research and Evaluation Lead, Reconciliation Lead and AREI Advisor to design, coordinate and implement AREI and reconciliation initiatives (i.e., manage the AREI Hub, manage translation needs, build consultation platforms, develop PowerPoint presentations, event support etc.).
  • Provides administrative support to meet operational needs of the Unit (calendar management, oversees the development and amendments of contracts and verifies, codes, and processes invoices and expense claims, ensuring FCM financial guidelines and any terms of contracts are respected, manage and process all AREI project expenses, including budget approval, invoicing and expense reporting, tracking, documents and managing deadlines with follow up as needed).
  • Coordinates AREI Unit, AREI Taskforce, AREI Working Groups, and other committee activities (scheduling of team, taskforce, working group, and committee meetings, planning retreats, coordination of team building activities, booking of rooms/venues, maintaining rolling agenda, note taking, file management, software subscriptions, etc.)
  • Coordinates, and/or co-facilitates and contributes to design to AREI and reconciliation learning opportunities, dialogues, courageous conversations, presentations, and other strategies that promote anti-racism, equity, and inclusion; lead scheduling, notification to participants, participant tracking.
  • Proactively conducts environmental scans for best practices and trends in anti-racism, equity, inclusion, reconciliation in general and specific to municipalities, and environmental issues; research relevant topics and produce technical reports to facilitate FCM capacity development
  • Writes departmental communications
  • Develops user manuals, training materials, and other documents as needed to enable successful embedding and implementation of AREI and reconciliation initiatives, processes, workflows and systems across FCM.
  • Coordinates and assists with data collection, data entry, and reporting processes relative to equity work and practices. Use data to monitor and report progress on AREI and reconciliation objectives and outcomes.
  • Coordinates all travel, meeting, and conference logistics. Prepares relevant materials and tracks expenditures in relation to travel and meeting logistics.
  • Verifies, codes, and processes invoices, Visa statements, and expense claims. Ensures financial guidelines and any terms of contracts are respected. Supports the Senior Director with budget entries and tracking of expense claims and other budget items.
  • Coordinates the translation of departmental communications and materials.
  • Other duties and special projects as assigned.


Knowledge, Experience and Skills

  • Minimum 5 years of experience providing organizational and administrative support,
  • 3 to 5 years of experience in training, group facilitation, presentations and project management
  • Experience acting as the main project manager on small to mid-size projects considered a strong asset
  • Experience with research and report preparation for multiple purposes.
  • Knowledge of business support processes, tools and administrative management practices and procedures.
  • Strong problem-solving mindset with the ability to work on diverse task and projects.
  • Demonstrated ability to navigate and manage multiple, and at times conflicting, priorities.


Language Requirements

  • The ability to work (written and verbal communication) in both official languages is a strong asset.
