Findlay Lawyers is looking for a full-time receptionist to join our team. We are a busy Hamilton based personal injury law firm that proudly serves the Hamilton, Burlington, Brantford, St. Catharines and Niagara area.
POSITION SUMMARY
Working closely with our legal team, the successful candidate will be responsible for all front desk duties, with a strong emphasis on data entry and data collection. The role of receptionist / administrative assistant will include answering phones, greeting clients, completing the intake process with potential new clients, and daily data entry. Additionally, you will be responsible for tracking intakes and maintaining the intake database.
QUALIFICATIONS
- Minimum 1 year college in office administration preferred
- Prior experience providing administrative or reception duties in an office environment
- Prior experience in a law firm is preferred, but not required
- Skilled in data entry, typing, and spelling
- Strong time management skills and attention to detail
- Excellent verbal and written communication skills
- Ability to work effectively in a busy and fast paced environment
- Strong interpersonal skills
- Ability to work well in a team and independently
- Maintain confidentiality
- Good work performance and attendance record are essential
RESPONSIBILITIES
- Answer and assist with all incoming calls
- Manage multi-line phone system and ensure every call is answered
- Speak to intakes / potential clients professionally and compassionately to obtain and record confidential and sensitive information relating to personal injury matters
- Screen intakes to determine appropriate steps and assignment
- Maintain intake software system, requiring ongoing communication with lawyers to obtain instructions and updates
- Maintain electronic filing system, including daily data entry to label and electronically file all documents, pleadings, medical records, and correspondence sent out or received by our office
- Welcome and greet clients
- Respond to email inquiries
- Organize and distribute incoming mail
- Manage deliveries and schedule pick up times with various courier services
- Provide assistance to support staff in completing overflow work such as drafting correspondence, completing forms, filing, and mailing
