We are looking for a mature, articulate individual who can take on the responsibility of Appointment Coordinator.

This position is strategic to the overall success of the dealership and therefore we require the highest level of customer service skills. The role is about communication skills and team work in working with our guests, technicians, parts team and transportation team.

Responsibilities

  • Respond to phone service appointments for guests including confirmation of services, costs, ordering and sourcing parts, arranging subcontract labor where required
  • Ascertains automotive problems and services by listening to guest's description of symptoms, clarifying description of problems, checking vehicle maintenance records and examining service schedules
  • Develops quotes by costing materials, supplies, and labor; calculating customer's payment, including deductibles
  • Inputs appointment requests describing symptoms, problems, and guest descriptions of issues as well as specific repairs and services required; obtaining approval signatures from guest
  • Maintain guest approval of estimates; obtaining and providing contact telephone numbers; answering questions and concerns
  • Respond to questions related to automotive repair troubleshooting, based on knowledge garnered from previous queries and the Lexus Academy
  • Respond to guest complaints and ensures high guest satisfaction standards
  • Assist Service Advisors with cashing out guests when needed
  • Coordinate shuttle & loaners vehicles for guests at the time of appointment
  • Creates claims for third party warranties and inputs claims
  • Carries out after service follow ups and promotes service facilities


This is an exciting role in a fast paced environment so organizational skills are extremely important. Past experience in an automotive dealership setting is a definite asset. We offer a competitive salary plus bonus program and full benefit program.


One unique feature of this role is cross training in writing internal work orders and learning the service advisor process and will provide the skills to move into further roles within the service department.
