Job Title: Office Administrator

We are seeking a highly organized and detail-oriented Office Administrator to join our team. As an Office Administrator, you will play a crucial role in ensuring the smooth operation of our office and providing administrative support to staff. This key position requires excellent organizational skills, strong attention to detail, and the ability to manage multiple tasks efficiently.

Duties and Responsibilities:

  • Manage and maintain office supplies inventory
  • Coordinate and schedule meetings, appointments, and travel arrangements
  • Perform general clerical duties including data entry, filing, and photocopying
  • Assist with budgeting and financial record-keeping tasks
  • Maintain accurate financial records using QuickBooks.Process accounts receivable (AR) and accounts payable (AP).
  • Manage payroll processing and employee timekeeping records
  • Maintain office cleanliness and organization
  • Answer phone calls, direct inquiries to appropriate staff members, and greet visitors
  • Ensure compliance with company policies and procedures
  • Create and process invoices accurately and in a timely manner
  • Obtain shipping rates and prepare outbound shipment documents

Skills and Qualifications:

  • Strong organizational skills with the ability to prioritize tasks effectively
  • Experience in training development is a plus
  • Proficient in clerical tasks such as filing, data entry, and record-keeping
  • Basic budgeting knowledge is an advantage
  • Excellent file management skills
  • Familiarity with payroll processing procedures
  • Ability to manage vendor relationships effectively
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Exceptional phone etiquette and communication skills
  • Proficiency in QuickBooks is a must

  • Monday to Friday

Education:

  • Bachelor's Degree (preferred)

Language:

  • English

Ability to Commute:

  • Must be able to commute to Etobicoke, ON M9W 5E3
