Job Description: We are seeking a detail-oriented and highly organized professional in planning, executing, and managing projects efficiently. The ideal candidate will excel in note-taking during meetings, creating project documentation, and assisting in various project-related tasks. Key Responsibilities:

Meeting Notes and Documentation:

  • Attend project meetings, take detailed and accurate meeting notes, and distribute them to stakeholders.
  • Organize and maintain project-related documentation, including project plans, schedules, and status reports.

Task Coordination:

  • Assist in task tracking and follow-up to ensure project milestones are met.
  • Collaborate with team members to ensure they have the necessary information and resources to complete tasks.

Communication Support:

  • Help facilitate communication between team members, clients, and stakeholders.
  • Assist in drafting and proofreading project-related emails, reports, and other communications.

Data Management:

  • Maintain project data and documentation in an organized and accessible manner.
  • Assist in data entry and database management, as needed.

Calendar and Schedule Management:

  • Assist in scheduling meetings, coordinating calendars, and ensuring timely project-related events and milestones.

Research and Analysis:

  • Conduct research on project-related topics as directed by the Project Manager.
  • Assist in data analysis and reporting as needed.

Administrative Support:

  • Provide general administrative support to the Project Manager, including travel arrangements, expense tracking, and meeting logistics.

Qualifications:

  • Proven experience as an assistant or in a similar administrative role, preferably in a project environment.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Proficiency in note-taking, creating well-structured meeting notes, and documenting project details.
  • Proficient in Microsoft Office/Google Suite and project management tools (e.g., Monday, Asana, Trello).
  • Attention to detail and the ability to multitask effectively.
  • Resourceful, proactive, and able to work independently.
  • Bachelor's degree or relevant certifications are a plus.
