Job Description


The Faculty of Health Sciences Human Resources Office provides leadership, advice, support and resources to faculty and staff to foster the creation of an environment that is inclusive, diverse, and engaging. Working with our partners within the Faculty and beyond, we are responsible for recruiting a large and diverse number of individuals locally, nationally, and internationally. We support the over 2000 staff members as well as, 890 full time and 2800 part-time faculty members who help the Faculty to accomplish its mission and vision. These are dispersed amongst the Schools and Departments in the Faculty of Health Sciences. Job Summary

  • Calculate and enter HR and pay related information into HRIS
    • Provide transactional support to the FHS HR Team
    • Enter payroll data such as set up of non-benefit eligible hires, additional pay, terminations, extensions, transfers, schedule changes and status changes
    • Meet appropriate payroll deadlines for pay process and corrections
    • Follow up with HR Consultant or department HR Coordinators where data is incomplete or non-compliant, or where clarification is needed
    • Maintain employee information in the HRIS by adding, deleting, and/or amending information such as employee status changes, name changes, address changes, benefit changes, work/study/permanent resident permits, and banking information, etc. and verifying amendments
    • Create employee personnel files for new hires from documentation received and taking responsibility for filing all paper documentation (received by or generated in the department) and setting up electronic files for all interim staffing
    • Preparation of employment letters, employment verification letters, cumulative service letters and schedule changes
    • Create new hire packages
    • Issue new employee IDs and enter into HRIS demographic information. Email new employee and department welcome letter containing the bar code id so employees can set up their MacID
  • Participate in validation and cleanup of data in HR PeopleSoft to maintain data integrity
  • Issue Photo ID Cards for all FHS staff on Central Campus and Hamilton Hospital sites
  • Escalate matters to the HR Consultant, as appropriate
