Owen Sound Gardens - Receptionist - Full & Part-Time
Location: Owen Sound
Employment Status: Full & Part time positions available
REPORTS TO: Office Manager
Qualifications:
· High School diploma or equivalent; additional education or certifications are an asset
· Proven min 1yr experience in a related role required
· Ability to multitask and adapt to changing priorities
· Attention to detail and a customer-focused attitude
· Energetic, upbeat, tenacious team player
· Proficient in MS word, Excel and Google Docs
· Works well in a fast-paced environment
· Self driven, needs little direction
· Excellent verbal and written skills
· Strong organizational and time-management abilities
Key Responsibilities:
1. Front Desk Reception
· Creates and distributes the daily resident census. Maintain necessary contact lists
( ie, residents and emergency contacts)
· Participate in staying compliant with RHRA, Public Health, and the MOL
· Complies with all policies and procedures
· In the absence of Marketing staff ensure appointments are booked, entered into the calendar and passed along to the Executive Director or Designate
· Greet Residents, visitors and employees with a warm and welcoming demeanor
· Answer phone calls, screen and direct them to the appropriate person or department
· Maintain a clean and organized reception area
· Handle incoming and outgoing mail
· Liaison with the Marketing department to ensure planed and organized move in for all residence. This includes preparing welcome packages, resident orientation, allocations of keys
· Assist Dietary with stocking of snacks in the Bistro
2. Resident Relations:
· Maintain a professional and courteous attitude when handling resident and family members requests and concerns
· Provide excellent customer service by addressing inquiries and assisting residents, staff and visitors with their needs (ie booking Salon apt, assisting with taxi)
· Liaison with Recreation to manage resident internal phone book. Maintain Confidentiality of resident personal information.
3. Administration:
· Assist in general administrative tasks such as data entry, filing and document management
· Prepare reports, spreadsheets, and correspondence as needed (alphabetical by last name)
· Manage office supplies and complete supply orders as required
· Prepare daily activity posters and post on the communication board and elevator
4. Communication:
· It is your responsibility to communicate to the preceding shift all relevant / important information from your shift via email, communication sheet
· It is your responsibility to communicate to your direct manager any issues or concerns that you may have
· Perform other related tasks as delegated by the Office Manager / Executive Director

Salary: $17.35-$18.50 per hour
