Tronnes Geomatics is an Alberta Land Survey company in Calgary, Alberta. Tronnes was originally established in 1966 to provide legal, topographical and construction survey services to Albertans. While the company still provides these same services, it has also become one of the leaders in the use of Terrestrial Laser Scanning. Tronnes started using Laser Scanning in 2004 on large projects such as the Northwest Stoney Trail project and the Alberta Children’s Hospital Interchange. We continue to utilize high-definition laser scanning with 5 Leica fixed base terrestrial scanners and a state-of-the-art Leica Pegasus Mobile Mapping system.

Job description:

We are looking for a receptionist/Administrative assistant who is crucial in ensuring the smooth and efficient operation of the office. You will be responsible for overseeing day-to-day administrative tasks, managing office resources, and providing support to various departments. The ideal person for this job will be detail orientated with excellent organizational and communication skills.

General Duties/Responsibilities

  • Answer incoming phone calls, emails, and other correspondence in a timely manner.
  • Receive incoming mail, co-ordinate distribution and process outgoing mail.
  • In charge of general office tasks such as copying, printing labels, filing, binding documents, couriers, etc.
  • Order and distribute office and field supplies.
  • Assists with the duties associated with the ordering, receiving and stocking of the kitchen supplies and area.
  • Ensure printers are in pristine working condition, maintain inventory of printer supplies and installation of toner and paper. Troubleshoot printer issues when necessary.
  • Set up files and maintain manual and computerized filing systems.
  • Greet visitors, ascertain nature of business and direct visitors to the appropriate person.
  • Plan and execute annual social events and coordinate logistics.
  • Create and send out invoices to clients.
  • Perform other related duties as required.

Facility and Safety Duties:

  • Help implement safety policies and procedures.
  • Perform all required office safety inspections.
  • Maintain records related to facility management.
  • Maintain the office condition and arrange necessary upkeep.
  • Ensure safety training is completed and up to date by employees.
  • Other duties as assigned.

Real Property Reports:

  • You will be responsible for setting up and managing Real Property Reports from start to finish.
  • You will respond to client inquiries by phone and email, providing pricing and answering any questions they may have.
  • Processing payment, send out emails, communicate with clients and submit compliance applications.

Qualifications, Experience and Education

  • Highschool Diploma or Business administration courses preferred.
  • Minimum 1-2 years of experience in an administrative role

  • Exceptional customer service skills with a friendly and professional demeanor.
  • Maintains good attendance and being able to meet deadlines.
  • Strong organizational and detail-oriented skills with the ability to multitask and prioritize tasks effectively.
  • Ability to work independently and as apart of a team.
  • Ability to work a multi-line phone system.
  • Strong verbal and written communication skills.
  • Effective problem-solving skills, ability to research and find solutions to problems.
  • Willingness to learn and adapt to new tasks and responsibilities.
  • Must possess strong technical skills with Microsoft Office Suite including Word, Excel, PowerPoint and Outlook at an intermediate level.

Hours:
8am-5pm (1 hr for lunch)

Salary: $22.00 per hour
