Working for the Department/Faculty

The University of Alberta’s Radiation Therapy program is Alberta’s only program of its kind. Fully accredited with a focus on Student-Centred Learning for Patient-Centred Care, the program’s vision is to “Advance the profession of Radiation Therapy through internationally recognized patient-centred education, scholarship, and community engagement.”

Position

The Radiation Therapy Program is looking for an enthusiastic, detail-oriented individual to work within a small, collaborative, and effective team. Reporting to the Administrator, this position plays a crucial role in the day-to-day functioning of the Radiation Therapy Program. The Academic Coordinator provides support for all academic administrative processes for didactic, clinical, and laboratory courses, as well as the day-to-day operations of the professional program. The incumbent must have the ability to anticipate needs and daily fluctuations in workload to meet variable demands and independently prioritize workload to meet expectations and timelines. Proficient use of a variety of computer programs and ability to quickly learn new academic and office technology is important for the fast pace of this position. This position will support the professional program faculty, including the provision of administrative support to the Program Director.

Duties

Communications:

  • Screens, directs and processes phone, electronic and in person queries
  • Drafts and/or generates routine communications with the intended audience being internal and external stakeholders
  • Responds to inquiries in person, by phone, by email and other channels and determines appropriate action required. Manages general email inboxes, as appropriate

Area Operations:

  • Creates and maintains spreadsheets and/or databases.
  • Prepares standard and ad-hoc reports for the area. Designs and develops customized reports for specific needs
  • Maintains area records. Establishes, maintains or updates files
  • Sends out surveys or information requests. Compiles submissions for review
  • Coordinates the collection of required documentation from staff and students as needed
  • Coordinates travel arrangements for area/program business or for recruitment
  • Orders textbooks through the U of A Bookstore and maintains records of same
  • Organizes meetings, conferences, seminars and special events including all BScRT committee meetings, CPD sessions for practicing provincial Radiation Therapists, annual programmatic ceremonies and celebrations
  • Provides administrative support for standing and special meetings. Coordinates documents and agendas. Anticipates and prepares supporting materials. Distributes meeting minutes.
  • Maintains websites, blogs or other social media platforms. Creates new web pages when required. Updates information/ data within the content management system
  • Ensures clinical preparedness for both students and staff with the coordination of radiation safety requirements, fire safety training, MRI safety training, etc., CPR and N95 mask fittings, coordination of clinical placement spots and IT access for placements for students and staff, and compilation of clinical records after placements are complete

Technology Support:

  • Set-up, orientation, and trouble-shooting of classroom and meeting room technology
  • Trouble shooting and support of radiation therapy specific technology platforms including:
    • VERT Simulator
    • Varian EduARIA
    • Sim-Capture (OSCE Technology)
    • PACS Systems

Minimum Qualifications

  • Related Undergrad or Diploma (Preferably a diploma program in business administration, accounting, human resources or tech related)
  • 2-3 years of progressively responsible operational support experience, preferably in a post-secondary setting
  • Demonstrate proficiency with, Peoplesoft HCM, Financials, Campus Solutions, SupplyNET., MS Office particularly Excel, and all Google applications

Preferred Qualifications

  • Excellent computer skills including proficiency in use of database, spreadsheet and word processing software. Along with the ability to learn complex technology applications
  • Demonstrate ability to develop and maintain positive, professional, collaborative working relationships with all stakeholders at all organizational levels
  • General working knowledge of university processes and procedures would be an asset
