Workforce Administration Assistant

Primary Purpose: The Workforce Administration Assistant provides high quality and efficient Human Resources support and contributes to an effective, collaborative, service-oriented work environment to assist the university in achieving its teaching and research goals.  

Nature of Work: Reporting to the Manager, Workforce Administration, the Workforce Administration Assistant is an experienced, partner-focused professional who contributes to service-oriented HR administrative services and the continued enhancement of shared services at USask.  This position maintains professional working relationships with a diverse group of partners. The Assistant plays a key role in a dynamic, partner-facing environment at USask. This position demands efficient task management, accurate data entry, the ability to work independently in a complex setting with tight deadlines, and skillful workflow planning to meet varying demands, peak periods, and unexpected challenges. . 

Typical Duties  

  • Provide guidance to faculty and staff regarding their eligibility for benefits and efficiently manage benefits administration processes, including enrollment, beneficiary updates, and other related tasks for both new and existing employees
  • Ensure open positions are accurately posted to the university's Career Center and implement job requisition adjustments as needed
  • Ensure a smooth transition for departing employees and people leaders by providing offboarding information and administration
  • Streamline employee onboarding by preparing and sending welcome letters contributing to a welcoming and informative start
  • Maintain and update spreadsheets to accurately track and manage benefits and leave of absence data, ensuring impeccable record-keeping.
  • Conduct HR reports, interpreting and communicating key findings to relevant stakeholders
  • Access and enter information into human resource systems, software applications and technical support tools (e.g. knowledge base, case management system).
  • Contribute to partner experience and process improvements by providing technology and process feedback to the Manager and internal stakeholders to improve ConnectionPoint administrative services, operations, and knowledge base.
  • Actively collaborates with colleagues and stakeholders (Functional Central Offices/Centres of Excellence, Strategic Business Advisors, Administrative Networks, Colleges/Units, and other ConnectionPoint teams) to ensure seamless, efficient resolution and/or routing of outstanding enquiries.
  • Reduce risk by remaining current with and adhering to university policies, guidelines and processes, collective agreements and relevant legislation that may have an impact on benefit or talent administration processes
  • Perform other related duties as required.

Experience:  2-3 years of related human resource administration experience within a customer orientated workplace 

Skills:  

  • Effective interpersonal and communication skills, both written and verbal; highly effective public and customer relations skills, including the ability to provide timely and courteous service with a tactful approach.
  • Effective relationship building skills.
  • Ability to work independently and collaboratively with internal and external stakeholders.
  • Demonstrated organizational and time-management skills in a fast-paced environment. Demonstrated accuracy in data entry, the ability to multi-task, and maintain exceptional attention to detail.
  • Proficient with computer information and processing systems used such as the University of Saskatchewan Finance System (Banner), SAP Concur, and software programs and applications (e.g. SharePoint Online, Microsoft Office).
  • Proven problem-solving abilities; confidence to make decisions and the ability to communicate them as appropriate.

Demonstrated experience working in case management systems will be considered an asset.
