Summary:
The work schedule for this position is:
Start date: Candidate must be able to begin working within a reasonable period of time (three weeks) of receipt of agency authorization and/or clearances/certifications or their candidacy may end.
Basic Function of the Position:
The incumbent serves as the executive assistant to the Consul General, handling all administrative matters of the Consulate Executive Office while liaising with all sections of the Consulate and relevant sections and agencies at the Embassy in Ottawa. The incumbent maintains the Consul General’s calendar, handles Executive Office correspondence, and is responsible for maintaining updated contact information. Incumbent advises on protocol matters, and supports representational events, VIP visits, and gift registration. Incumbent supports all aspects of official travel for the Executive Office and other sections as needed.
EXPERIENCE:
Minimum of three years’ work experience in an office management or executive assistant position with a high level of customer service. Prior experience should include regular use of Microsoft Office products.
JOB KNOWLEDGE:
Good working knowledge of general office procedures, customer service, and protocol matters. General knowledge of Canada, specifically Alberta, Saskatchewan, and Northwest Territories. Up-to-date knowledge of personal computer applications, word-processing, spreadsheets, database, Internet searching.
At least two years of post-secondary studies are required.
LANGUAGE: English - Fluent in speaking/reading/writing. This may be tested.
SKILLS AND ABILITIES:
Strong interpersonal and customer service skills and attention to detail. Excellent written and oral communication. Must have excellent time management skills and be able to multi-task. Proficiency with Microsoft Office suite and various video conferencing systems. Will be required to learn State Department-specific administrative and management software. Must use independent judgment in planning and executing job requirements. Must exercise good judgment, tact, diplomacy, and customer service in all interactions. Must demonstrate social perceptiveness and respect for all. Ability to detect cultural clues and subtleties of cross-cultural communication when dealing with a wide variety of government, academic, social, diplomatic, and business contexts.
