The Wilder Institute/Calgary Zoo is looking for an Administrative Assistant to join our enthusiastic and energetic Catering team. The Administrative Assistant, catering is primarily responsible for the administrative tasks in the Catering department.
In addition, event support as necessary for both internal and external clients, including cash closing procedures in accordance with all standards, policies and procedures.

Contract:
- Start Date: March 25, 2024
- End Date: September 2, 2024
What you will do:
- Ensure the BEO’s, event signs, consumption reports, etc. are ready for the Banquet Captains prior to catered events
- Review all billing submitted by the Banquet Captains and ensure the bar balances; report discrepancies to management for approval
- Input consumption numbers into Caterease
- Submit completed BEO to Coordinator for invoicing approval
- Create reports/ spreadsheets as directed by the Food and beverage operations Manager
- Update event board and communication board as directed by catering management
- Ordering catering supplies
- Inventory support and data entry
- Support with payroll and invoice allocations
- Assist BOH management with data entry as needed
- Supportive role with events when necessary (internal and external)
What you will bring:
- Minimum 1 year administrative experience
- Hospitality experience an asset
- Friendly, outgoing personality
- Independent worker
- Excellent written and verbal communications with strong organizational and interpersonal skills
- Excellent computer skills and proficient in Microsoft office
Working Conditions:
- Able to work in a fast-paced environment
- Frequent walking and standing for long periods of time required
- Weekdays/weekends
The Wilder Institute/Calgary Zoo is an outdoor facility and all staff working at the zoo must be comfortable working in a large variety of outdoor conditions. The organization follows the advice of Environment Canada when responding to temperature and air quality issues.
The Wilder Institute/Calgary Zoo will be a no smoking environment including vaping as of January 1, 2023.
