The Department of Radiology is currently seeking a full time Sr. Administrative Assistant to work in Miami. The Sr. Administrative Assistant performs a variety of clerical functions and office support activities for assigned department(s) to facilitate the efficient operations of the office. CORE JOB FUNCTIONS Supports department and/or department leadership with daily clerical tasks. Plans meetings and takes detailed minutes, as needed. Answers phone calls, provides information to callers or connects callers to appropriate staff. Schedules appointments and updates calendars. Makes travel arrangements and reservations for department leadership and staff, as needed. Composes and types correspondence, such as informative materials; creates spreadsheets and presentations. Greets and provides general support to visitors. Develops and maintains department filing system. Adheres to University and unit-level policies and procedures and safeguards University assets. Department Specific Functions Prepares financial forms (IDRs, Expense Reports, POs, work orders, check requisitions, etc. for department). Assists in managing the calendars for Chair, Associate chair, SAO and VC, Clinical Operations. Collaborate with Manager, Programs (Faculty Development) in preparing documents for faculty development. Assists with faculty tenure, promotion and reappointment process. Update Organizational Charts for the department. Responsible for initiating and following up on the faculty credentialing process to ensure faculty are ready to start as outlined in their offer letter. Manages multiple Outlook calendars for the faculty in leadership positions. Collects, reviews, analyzes complex and/or confidential data and prepares reports, charts, and other presentation materials. HR liaison, manage confidential employee matters, assist in completing required documentation for opening of positions. Process hiring and termination documents as needed in WD and in conjunction with HR managers. Plans meetings and takes detailed minutes, as needed. Assist in planning faculty leadership retreats (develop agenda’s and facilitate materials). Initiate faculty initial provider requests. Submit Bill area request for new providers in a timely manner to ensure proper and timely billing. Makes travel arrangements and reservations for faculty as needed. Composes and distributes correspondence, such as informative materials for faculty and staff. Adheres to University and unit-level policies and procedures and safeguards University assets. Supports department and/or department leadership with daily clerical tasks and or special projects. Responsible for processing reimbursements and reconciling of charges when needed. Serve as back up to the department Executive Assistant when needed. Manage onboarding process alongside VC, Faculty development, update orientation material as needed. Coordinate the departmental Required Coding & Documentation Meeting. Work with VC, Clinical Operations on projects as needed. Assist with any other tasks as determined necessary. CORE QUALIFICATIONS Education: Bachelor’s Degree. A combination of education and experience will be considered.
