89bio is Hiring an Executive Assistant to the CEO Near San Francisco, CA

THE COMPANY

89bio is a clinical-stage biopharmaceutical company focused on the development and commercialization of innovative therapies for the treatment of liver and cardio-metabolic diseases. The company's lead product candidate, pegozafermin (BIO89-100), is a specifically engineered glycoPEGylated analog of FGF21. Pegozafermin is being developed for the treatment of nonalcoholic steatohepatitis (NASH) and severe hypertriglyceridemia (SHTG). 89bio is headquartered in San Francisco with operations in Rehovot, Israel.

THE ROLE

Reporting to the CEO, the Executive Assistant serves a critical role by assisting the CEO with administrative tasks that enable the CEO's success and ensures that 89bio's offices run smoothly.

THE RESPONSIBILITIES

  • Plan, coordinate, and ensure the CEO's schedule is followed and respected; Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office
  • Complete a broad variety of administrative tasks for the CEO including managing an active calendar of appointments; composing and preparing correspondence that may be confidential; arranging travel plans, itineraries, and agendas
  • Keep the CEO aware of upcoming commitments and key business calendar appointments
  • Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately
  • Serve as the CEO's administrative liaison to key industry, guests and network members
  • Maintain discretion and confidentiality representing the CEO and in relationships with all employees
  • Timely submission of expense reports for processing/reimbursement of all expenses for the CEO
  • Anticipate the needs of the CEO in advance of meetings, conferences,
  • Support Board and Investor Relations activities
  • Partner with CEO and CFO on investor relations activities such as scheduling meetings, NDRs, conference schedules, etc.
  • Support to full C-Suite as needed
  • Management of office space including facilities, IT liaising, supplies and food; Prepare conference rooms for in-person meetings (includes set-up and clean-up of conference rooms)
  • Assist the CEO and HR in promoting and coordinating Company-wide activities
  • Completes projects and assignments by establishing objectives, determining priorities, managing time, collaborating with others, monitoring progress, problem solving, and being flexible
  • Oversee the CEO's financial expenditures including travel, holiday gifts,
  • Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated
  • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the Company
  • Capture verbal tasking the CEO provides to direct reports, track the relative prioritization, and the execution of those tasks
  • Aid CEO in preparing for meetings and presentations including gathering data, drafting PowerPoint slides, and sending pre-meeting agendas, notes and invites
  • May be asked to attend executive meeting for agenda, time, and PowerPoint slides management, or note taking
  • May manage other lower admins and assign tasks as needed

THE QUALIFICATIONS

  • 5 year's related experience providing support to the C-Suite level management or equivalent combination of education and experience.
  • Minimum of an Associate degree - Bachelor's preferred
  • Experience in the biotechnology industry is a plus
  • Ability to work from SF Office 2 days per week
  • Proof of COVID-19 primary series vaccinations
  • Exceptional verbal and written communication skills including the ability to speak and write in a succinct and positive manner; write routine reports and correspondence; speak effectively before groups or employees.
  • Work well independently, recognizing workload demands and prioritizing them appropriately; must also be flexible to accommodate rapidly changing priorities.
  • Strong people skills and must be able to maintain confidentiality and act with discretion.
  • Strong organizational skills and ability to perform and prioritize large volume of accurate work seamlessly with excellent attention to detail.
  • Highly resourceful and with the ability to be extremely effective independently.
  • Strong analytical and proactive approach in problem-solving
  • Superb professionalism as a representative CEO office and the ability to interact with the board and external stakeholders with respect and credibility.
  • Ability to look ahead and anticipate needs for travel, meetings, and projects and take initiative to coordinate.
  • Experience with working in high growth, collaborative organizations.
  • Possesses sound judgment, and excellent emotional maturity to make decisions.

SALARY

89bio considers a range of factors when determining compensation. These considerations mean actual compensation will vary. The range for this position is $90,000 - $121,000 and will commensurate with experience.
