Summary

The Development Database Administrator position is primarily responsible for assisting the Chief Development Officer to implement fund development activities for AbilityFirst.

The Development Database Administrator is responsible for the operational functions of the Development Department. This person has excellent project and peer management skills; has strong organizational, customer service, and communication skills; and works independently as well as on a team. This person will create, maintain, implement and/or support development systems that will enable the entire Development team to perform with greater efficiency and accountability. Specifically, the Development Database Administrator will support fundraising efforts through facilitating the maintenance and use of the centralized donor database; ensuring timely donor thanking and gift processing; supporting research efforts; and playing a key role in revenue management and planning.

Primary duties

  • Serve as the primary liaison of all donor-related data management and transactions, with primary focus on the AbilityFirst donor database system.
  • In collaboration with the finance department, responsible for donor database including ensuring accuracy and integrity of donor information, gift processing, coding, classifying and acknowledgement with accuracy.
  • Design and generate simple and complex queries, exports, reports, and metrics.
  • Perform data functions including merging records, clean-up, and special import projects and reporting.
  • Prepare mailing lists, including fundraising appeals, event invitation lists, and email lists for electronic communications.
  • Assist with the documentation of donor communications and constituent records.
  • Assist with the development and tracking of donor engagement statistics and reporting.
  • Create progress and analysis reports to assist the Chief Development Officer in assessing the revenue plan.
  • Support and coordinate the administrative needs of development operations, including assist in all mailings and donor communications.
  • In close partnership with the Chief Development Officer, work on projects including planned giving, direct mail, and strategic planning.
  • Develop relationships with program and support staff to ensure a team-like environment.
  • Engage in regular phone calls, and personal correspondence with current donors and prospects.
  • Ensure that all major donors, regardless of revenue channel, have a high quality, increasingly personalized experience with AbilityFirst.
  • Ensure team use of database and provide ongoing training to the team so that they can actively utilize and benefit from the database.
  • Maintain data integrity and accurate constituent records with sufficient data to ensure data exports for events, mailings, and other needs.
  • Conduct weekly audit of fundraising progress reports to ensure they are up to date and all revenue is accounted for.

Secondary duties

Performs any or all duties as required or requested by Supervisor.

Environment

The working environment for this position is an office-based position. The Development Database Administrator is expected to travel to off-site events, meet with staff, prospective donors and to other community sites on a periodic basis using his/her own vehicle and/or public transportation.

Physical activity

While performing this work, the Development Database Administrator will spend most of the time sitting, speaking, and listening. While working at events may have to lift up-to 20 pounds, squat, kneel, climb, stand, and walk for prolonged periods. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties of the job.

  • General office equipment and machinery.
  • Personal vehicle.

Position requirements

These specifications are general guidelines based upon the minimum ordinarily considered essential to satisfactory performance in this position. Individual skills and abilities may result in some deviation from these guidelines.

To perform effectively in this position, the Development Database Administrator is required to have:

  • A basic knowledge of fundraising methods.
  • Ability to effectively apply fundraising techniques and to utilize prospect research tools.
  • Ability to use donor database management software (Salesforce or Raisers Edge strongly preferred).
  • Effective oral and written communication skills sufficient to write compelling communications and present reports.
  • Demonstrated project management skills.
  • Solid personal computer skills including spreadsheets, desktop publishing and word processing.
  • Ability to develop long-term relationships with donors and others.
  • Ability to work independently.
  • Current California driver’s license and a driving record acceptable to the Agency’s insurance carrier or ability to travel to AbilityFirst program locations and events sites as needed.
  • Self-starter.
  • Active listening, observation, analytical, and problem recognition and solving skills.
  • Excellent writing skills.

Typically, these requirements may be met by a combination of a bachelor’s degree or equivalent in business, nonprofit management, marketing, or related discipline, or its equivalent, and two years of responsible experience in nonprofit agency development functions.

The Development Database Administrator must be able to perform this job safely, without endangering the health or safety of him/herself or others.
