Summary

Responsible for the following, either personally or through subordinate staff:

  • Case management, including providing guidance and assisting with Discovery/Person-Centered Planning, Educational Phase, and Internship/Employment Phase for all students.
  • Work collaboratively with Associate Director, Program Supervisors and Educational Coaches to ensure the program is in alignment with individual students’ plans.

Primary duties

  • Performs supervisory duties including special emphasis on training Educational Navigator(s); interviews applicants for employment; reviews progress of assignments; conducts performance appraisals and recommends salary increases; resolves discipline problems and recommends termination as necessary; and develops higher levels of expertise in Educational Navigator(s) by encouraging further education, participation in seminars, and providing learning opportunities within the program.
  • Responsible for the referral and intake process for all students, including orientation for new students and their families. 
  • Ensures complete and accurate records of student’s enrollment and ongoing program file, including semi-annual and annual reviews, progress notes and other correspondence as appropriate.
  • Oversees and ensures funding authorizations for enrolled students and incoming students are current and accurate, including monitoring all funding trackers, communicating with Accounting Department, and addressing any funding concerns.
  • Supports Discovery Phase for each new group of students two times a year. 
  • Ensures staff meets monthly with students and Educational Coaches to assess progress and if there is need for any corrective action, as well as plan following semester classes and/or volunteer opportunities. 
  • Supports new students and their families in adjusting to new demands and expectations of the program and life as a college student.
  • Coordinates and works directly with students, family, and program staff during initial 30-day Discovery Process to ensure that all are prepared for the Person-Centered Plan development and will have one-page profile completed at the conclusion of Discovery.
  • Coordinates students, families, and program staff to implement key components of the Person-Centered Plan. 
  • Guides and advises Educational Navigator(s) regarding student developmental or behavioral issues, implementation of activities and other items. 
  • Communicates with other AbilityFirst departments as needed, including Accounting, Marketing, and Human Resources.
  • Provides support to the Program Director and Associate Director with recruiting, interviewing, hiring and training Educational Coaches and Educational Navigators. 
  • Monitors students’ GPA, course additions and course drops, and informs students of potential academic probation. 
  • Keeps all stakeholders informed of any major educational changes.

Case Management Delivery:

  • Ensure suitable students transition into the College to Career program through the Discovery Phase, preparation of Person-Centered Plans in conjunction with AbilityFirst’s internal teams and providing direct service staff with background information on new students.
  • Monitor student progress through assessment tools/data gathered from coaches, as well as conducting College to Career site and community observations. 
  • Provide crisis support as needed, as well as assistance with self-advocacy and case coordination services for students as appropriate. 
  • Works within budget guidelines set by Program Director and Associate Director to deliver case management. 

Secondary duties

  • Fills in as Educational Coach as needed to meet ratio.
  • Represents the program and AbilityFirst in outreach activities with regional centers and public schools.
  • Provides informational program updates to current students, families, and/or Regional Center Service Coordinators as needed.
  • Supports in maintaining the program's informational flyers and materials updated for distribution to potential students, families, and community contacts.
  • Performs additional duties as assigned or requested by Program Director. 
  • Participates in trainings to further develop professional skills and strengths in leadership, understanding the individuals served, and expand expertise in developmental disabilities.
  • Participates in agency teams as requested to further AbilityFirst's mission.

Supervisory responsibilities

Educational Navigator Supervisor manages one or more Educational Navigator with a case management load according to the established standards. The Educational Navigator Supervisor also acts as a role model and in a leadership role for AbilityFirst staff, volunteers, and others throughout the agency.

Environment

The working environment for this position is part time in an open office that is clean and comfortable. It may include some minor annoyances such as noise, odors and drafts. While in the office, the Educational Navigator Supervisor is in a non-confined, office-type environment in which he or she is generally free to move about at will. The Educational Navigator Supervisor may spend time in the community, or the college campus, which may include temperature extremes, exposure to loud noise levels, and other annoyances. He/she is expected to travel within the community regularly using his/her own vehicle and/or public transportation.

Physical activity

While performing this work, the Educational Navigator Supervisor will spend the majority of the time sitting, standing, walking, stooping, bending, speaking and listening. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the job.

Equipment operation

The Educational Navigator Supervisor in this position operates the following equipment:

  • Standard office equipment and machinery,
  • Personal or company vehicle,
  • Cell phone/tablet, and/or,
  • Tools or equipment as needed to demonstrate use of or assist a student in the classroom or community.

Position requirements

These specifications are general guidelines based upon the minimum ordinarily considered essential to satisfactory performance in this position. Individual skills and abilities may result in some deviation from these guidelines.

To perform effectively in this position, the Educational Navigator Supervisor is required to have:

  • A comprehensive knowledge of development and implementation of Person-Centered Planning for adults with developmental and/or physical disabilities sufficient to teach and support other staff members to master the process. 
  • A broad and deep knowledge of methods transition and integration of adults with disabilities into community settings.
  • Excellent case management skills.
  • Demonstrated leadership and team building skills, with ability to lead without authority.
  • Demonstrated conflict resolution/problem-solving skills.
  • Personal computer skills including database and word processing.
  • Very effective oral and written communications skills.
  • Ability to work independently, as a member of a team, and as a leader of a team.
  • Strong organizational skills.
  • Demonstrated supervisory skills to lead assigned staff and provide leadership and guidance to Educational Navigators and Educational Coaches in supporting students.
  • A current California drivers' license and driving record acceptable to the Agency's insurance carrier or has reliable transportation to work in person at program sites or campuses in LA county.
  • Adheres to all vehicle code and operation regulations, including speed limits, according to the State of California Department of Motor Vehicles while driving an Agency-owned vehicle.
  • At time of hire: meet State licensing health requirements, provide proof of a recent tuberculosis test, to be able to obtain fingerprint clearance from the DOJ, and pass background check and submit to a drug screening. 
  • Within six months of initial date of hire: provide or complete Red Cross First Aid and CPR Certification.
  • All required certifications must be kept current.
  • Typically, these requirements may be met by a combination of education in social services, education, psychology, or related discipline and three to five years of experience in increasingly responsible program service, professional and supervisory positions in similar work. Prior education and/or experience in special education are preferred. 
  • The Educational Navigator Supervisor must be able to perform this job safely, without endangering the health or safety of him/herself or others. 
  • A willingness to work hours outside typical program or business hours as well as participate in weekend events.

Typically, these requirements may be met by a combination of education (including a bachelor’s degree or equivalent in a related discipline) in social services, education, or related discipline and several years’ experience in a similar field. Prior education and/or experience in transition services is preferred.

The Educational Navigator Supervisor must be able to perform this job safely, without endangering the health or safety of him/herself or others.
