Job Description

Action Physical Therapy is a family run and operated company for the past 25 years in South Florida. We are looking for a full-time front desk receptionist for our physical therapy office in Palm Beach Gardens. The receptionist will manage our front desk on a daily basis and will perform a variety of administrative and clerical tasks. Duties include but are not limited to: check in/Check out, scheduling follow up appointments, answering phones, collecting payments, end of day reconciliation, scanning documents, chart maintenance, insurance verification, obtaining authorizations/referrals. Must be a people person with a great personality, and a passion for patient care, be able to work independently and as a member of a team with the ability to multi-task, and pay attention to detail.

As a Front Desk/Receptionist, you will be the first point of contact for our company. You will welcome guests and greet people who visit the business. To be successful as a Front Desk Receptionist, you should have a pleasant personality, as this is also a customer service role.

Ultimately, a Front Desk/Receptionist’s duties and responsibilities are to ensure to welcomes guests positively, and to execute all administrative tasks to the highest quality standards.

Responsibilities - Front Desk Receptionist

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Order front office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Arrange travel and accommodations, and prepare vouchers
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

Requirements - Front Desk Receptionist

  • Professional attitude and appearance
  • Bilingual is highly preferred
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school degree; additional certification in Office Management is a plus
  • Medical Office experience - minimum of 1 year
  • Must have experience in insurance verifications and Authorizations
