The Front Desk Coordinator position is the “first impression” position of Advance Dental Center. The the front office team and is the liaison between patients and back office staff. This position takes on front office responsibilities while providing a high level of customer service. This position reports directly to the office manager, and is located at the St. Mathews location.

Duties And Responsibilities

  • Warmly greet and build rapport with patients as they arrive at Advanced Dental Center.
  • Promptly responds to phone calls, voicemails, texts and emails.
  • Efficiently checks in and out, all patients, for their scheduled appointments.
  • Verify patients’ appointments via phone calls, text and emails.
  • Proactively sweeps the schedule, addressing conversions, unconfirmed confirmed appointments, balances and signed treatment plans.
  • Build the schedule by making proactive phone calls, texts and emails to schedule appointments.
  • Maintains and updates patient profiles within Open Dental.
  • Speaks to patients about their treatment plans, and estimated insurance coverage and warranty options.
  • Pulls end of day reports.
  • Ensures all required documentation is on file prior to the appointment.
  • Verifies patients dental insurance.
  • Collects patients fees and copays before the appointment.
  • Ensures patients fully understand their treatment plan and payment options.
  • Provides information on the Dental Saver Discount Plan.
  • Schedules patients appointments within the patient management system.
  • Ensures that the reception and front desk areas are always clean and sterilized.
  • Completes other duties as assigned

Requirements

Position Requirements:

  • Minimum of a high school diploma.
  • Must be able to provide a high level of customer service.
  • Must have excellent verbal and written communication skills.
  • Previous experience working in the dental field is preferred.
  • Must have the ability to multi-task and work effectively in a face paced environment.
  • Must follow HIPAA Compliance.
  • Must be well organized and have excellent computer skills.
  • Must be able to thrive in a team oriented environment.
  • Ability to sit for long periods of time.
  • Ability to work in an area where the noise level is typical of an office environment.
