Position Description
Title: Lien Representative
The lien representative position is focused on ensuring that doctors' liens are filed promptly and that they are in accordance with state laws; this is done by recording doctor's liens through the Clerk of Courts. The staff candidate will create Notice of Intents and Notice of Liens. The candidate should ensure that all the notification requirements are met. The lien representative is also responsible for ensuring that the doctor's lien/amendment itself is mailed to all required parties using the mailing method required by statute (certified mail, priority mail, etc.).
Position Duties:
- Create and send Notice of Intents and Notice of Liens to all parties involved
- Change account statuses on Liens as needed
- Log PHI information into Nextgen or Rapid database
- Enter book & page numbers into the FileMaker Pro System
- Extensive use of NextGen, FileMaker Pro, & Rapid systems
- Send follow-up lien correspondence letters to all parties involved
- Demonstrate attention to detail when creating lien documents
- Fax documents to all labile insurance carrier
- Maintain daily production log
- Process return mail when necessary
Position Expectations:
To perform the position successfully, an individual is expected to:
- Complete all rush liens on the issued date
- Generate to 85 to 100 Notice of Intent to liens daily.
- Generate at least 60 to 65 Notice of Liens daily.
- Enter book and page numbers on 100 accounts in the lien database.
- Fax or email a copy of the recorded lien document(s) attorney offices.
- Note the system.
- Change the Lien Status
- Satisfy 50 to 75 paid lien accounts.
- Upload documents into database
- Change account type
- Print satisfied lien letter
- Combine printed documents for mailing
- Mail documents to all parties
- Request lien to be electronically filed to the court
- Attach request spreadsheet
- Attach lien documents
- Process return mail when necessary
- Note the system for the reason of return mail
- Display a positive and respectful attitude.

- The Lien Team must meet 93% of their individual goals collectively to achieve the company goal globally.
Position Metrics:
The execution of the position is quantifiably measured by the following:
- 97% of Liens file to the court within 90 days from the first day of treatment.
- 95% of the NOI’s and NOL’s mailed to all parties involved by day 65 of the first day of treatment.
- 100% of RUSH lien accounts are completed the same day in which they were approved.
- 93% of paid lien accounts are satisfied within 14 to 21 days from the date the payment is posted to the account.
Position Requirements:
- Minimum High School completion or higher
- At least two years of relevant work experience
- Strong verbal and written communication skills (make complex ideas easy to understand)
- Ability to be flexible, multi-task and organize priorities in a fast-paced work environment, while maintaining a high level of focus and accuracy
- Proven Ability to work well under pressure
- Ability to sit for long periods of time
- High level of professionalism and ability to maintain confidentiality
- Proficiency in Microsoft Office including Excel, Word and Access
- Ability to work independently and to adapt to a fast-paced environment
- Typing average 35 words wpm
- Understanding and Adhering to HIPPA Laws
Position Miscellaneous:
- Work 40 Hours a week
- May work extended hours from time to time to meet deadlines
- Communicate effectively with other departments within the corporate office
- Physical Demands: Frequent sitting; frequent manipulation of documents; occasional typing or use of keyboard; limited lifting floor to overhead of less than 10 pounds.
