Description

ABOUT THE POSITION
Responsible for various purchasing and purchase order duties such as purchasing product/parts,
maintaining inventories, and working with suppliers.
Essential Duties and Responsibilities include the following. Other duties, responsibilities, and activities
may change or be assigned at any time with or without notice. To perform this job successfully, an
individual must be able to perform each essential duty satisfactorily.
• Responsible for purchasing inventory items for resale and parts for production/services. Works
with managers and staff to maintain inventories at optimal level and minimize back orders.
• Possesses a good understanding and knowledge related to purchasing transaction process (PO
placement, price, quality and delivery, etc.) Coordinates with Accounts Payable, Production, and
Warehouse staff for any associated transactional documentation.
• Works with Purchasing Manager to monitor inventory levels and manage expectations based on
sales forecasting, anticipated requirements, and delivery schedules.
• Assists with supplier management, such as monitoring supplier performance based on quality, cost
and delivery.
• Communicates with vendors as needed for product revision, regulatory requirements, contract
renewal, quality issues, pricing, lead time and remedial/corrective actions.
• Coordinates with third-party logistics partners to ensure accurate and timely submission of
documentation for customs clearance and tax compliance while monitoring international shipment
status and transportation milestones.
• Assists managing relationships with third-party fulfillment and shipping partners to optimize order
processing, transmission accuracy, and performance metrics while ensuring seamless order f low.
Additional Responsibilities include the following.
• Adherence to ISO quality standards and internal control requirements. May be assigned quality
management responsibilities within the Company.
Inter-relationship Relationship of position with internal, lateral and external groups.
Position works collaboratively as an integral team member across multiple departments. Partners closely
with Production department to ensure consistent component and material availability to meet
manufacturing requirements. Maintains regular communication with Engineering department regarding
quality control standards, inspection requirements, product and part revisions. Provides critical lead time
updates to Sales and Customer Service to support customer needs. Develops and maintains professional
relationships with suppliers and manufacturers while coordinating cross-departmental support as needed.

EDUCATION AND RELATED EXPERIENCE:
• Bachelor's degree in Supply Chain Management or related field required or professional certification
in Supply Chain Management.
• Experience working in inventory management and procurement is preferred.
• Knowledge of principles and practices of purchasing and/or accounting, and payables processes as
related to vendor criteria, responsibilities, and requirements.
• Experience with data analytics and visualization tools, especially Excel and PowerBI, to analyze
trends, manipulate datasets, and provide reports offering actionable insights. Data analytics
experience is not an absolute requirement, but would provide a significant advantage to applicants.
REQUIRED COMPETENCIES: To perform this job successfully, an individual should have knowledge of:
• Excellent written, oral communication, and presentation skills required. Must have strong problem solving
skills and communicate persuasively. A successful candidate will identify areas of risk in the
supply chain, inform stakeholders and present mitigation options.
• Demonstrates ability to maintain consistent progress across multiple tasks while working in both
independent and collaborative settings. Strong organizational and time management skills with
proven ability to execute plans and meet deadlines in a dynamic environment.
• Understanding of purchasing transaction processes (PO placement, PO receiving, MRP for parts,
and overseas purchases), and associated policies and procedures. Willing to participate in Institute
for Supply Management (ISM) activities and pursue credentials for professional development in the
purchasing field.
• Adaptability and willingness to continue learning to stay up-to-date on industry changes and best
practices.

 

Qualifications


PREFERRED QUALIFICATIONS:
• Japanese fluency
• Aiphone product knowledge, knowledge of intercom and access control markets
• Knowledge of Incoterms, basic importing and exporting processes
• Experience utilizing ERP software

required to climb ladders, stand, stoop, kneel, squat, crouch, or crawl. Specific vision abilities
required by this job include close vision, distance vision, peripheral vision, depth perception, and
ability to adjust focus.

WORK ENVIRONMENT:
The work environment characteristics described here are representative of those an employee
encounters while performing the essential functions of this job. For the most part, ambient room
temperatures, lighting and traditional office equipment as found in a typical office environment.
Position may require extended work hours to meet or address critical business needs and/or as back
up for Purchasing Manager.
