Job Summary
We are seeking a detail-oriented and proactive Operations Coordinator to join our dynamic team. The ideal candidate will play a pivotal role in ensuring smooth operations across various departments by managing schedules, facilitating communication, and maintaining organized records. This position requires strong organizational skills, a customer-focused mindset, and the ability to multitask effectively in a fast-paced environment.

We are looking for a dedicated and highly organized individual to join our team as an

Operations Specialist. An individual who is ambitious, honest, and detail-oriented. The ideal candidate for this position will play a vital role in ensuring the smooth and successful execution of multiple tasks that will support in the day-to-day operations and networking for Islam in Prison. The Operations Specialist will report directly to the director of this project and will assist in data collection, networking, and contribute to the overall success of Islam in Prison’s mission to reach incarcerated Muslims across the nation.

This unique position involves managing incoming correspondence from incarcerated individuals, maintaining a chaplaincy database, and researching and finding grants to support our organizations mission of serving Muslims in U.S. prisons.

The ideal candidate will possess a blend of skills in data management, communication, and grant finding, and will be committed to maintaining confidentiality and accuracy in all aspects of the role.

Key Responsibilities:

  • Mail and Email Processing:
  • Receive and process USPS mail and emails from incarcerated individuals,

ensuring that all letters are read and requests are logged accurately into the

database.

  • Review and interpret handwritten and typed letters, entering relevant data and

requests into a secure database.

  • Request Fulfillment:
  • Collaborate with warehouse staff to fulfill requests from incarcerated individuals

in a timely manner, adhering to facility-specific requirements.

  • Ensure that requested items are gathered and shipped according to guidelines,

and obtain acknowledgment letters from facility personnel after fulfillment.

  • Chaplaincy Database Maintenance:
  • Communicate with chaplains and prison staff across state and federal prisons to

gather data on the needs of Muslim inmates and the services required.

  • Update and maintain an organized chaplaincy database, tracking Muslim inmate

services and needs to improve support and outreach.

  • Grant Finding:
  • Locating potential grant opportunities from foundations, government agencies,

and other funding sources that align with our mission of supporting incarcerated

Muslims.

  • Collaborate with team members to ensure that grants are aligned with the

organization's strategic goals.

  • Maintain a grant calendar to track upcoming deadlines, submission statuses, and

renewal dates.

  • Confidentiality and Compliance:
  • Handle sensitive information with the utmost confidentiality and in compliance

with organizational policies and legal requirements.

  • Experience:
  • Minimum of one year of experience in customer service, administrative support,

or similar roles. Previous experience in grant finding or research is highly

desirable.

  • Technical Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Comfortable using internet resources for research, particularly grant databases

and funding sources.

  • Grant Finding Skills:
  • Proven experience in researching and finding granta, including knowledge of the

grant application process and the ability to tailor proposals to different funding

bodies.

  • Communication Skills:
  • Strong verbal and written communication skills, with the ability to interpret

handwritten correspondence and respond effectively.

  • Excellent interpersonal skills for communicating with incarcerated individuals,

prison personnel, chaplains, and grantors.

  • Organizational Skills:
  • Highly organized with a strong attention to detail. Ability to manage multiple

tasks, prioritize effectively, and meet deadlines.

  • Experience with document and file management, particularly in maintaining

digital records.

  • Personal Attributes:
  • Ability to work independently and proactively, while also collaborating effectively

with team members.

  • Strong sense of integrity and professionalism, particularly when dealing with

sensitive information.

  • Additional Qualifications:
  • Interest in prison reform, social justice, chaplaincy services, or the Muslim

community in prison is beneficial but not required.

Work Environment:

  • The position is an office setting, with occasional collaboration required with warehouse staff and team members.

Compensation:

  • Competitive salary, commensurate with experience.
