All American Barricades is Hiring an Event Logistics Coordinator Near Fort Lauderdale, FL

Job Purpose:

The Event Logistics Coordinator is responsible for every aspect of event planning. Working with companies to confirm manpower needed and keep track of event hours.

Job Duties:

  • Put events in Calendar as tentative until confirmation is received, once quote is accepted, create job/tickets in TCR & invoice in QB – send Draft email and follow up.
  • Keep track of schedule for Special Events, scheduled jobs, daily orders.
  • Review calendar for scheduled deliveries, confirm with Warehouse Manager that all tickets have been completed and orders are ready to go.
  • Review the open balance for all customers, review with accounts receivable and update VP of Client Success.
  • Verify with VP of Operations the labor/flaggers that need to be ordered for events & coordinate with Frontdesk/dispatcher.
  • Assist with permits, monthly certifications, and customer follow- ups.
  • Complete Special Events file (copy, scan, file & Log Event into spreadsheet).
  • Verify equipment is loaded/Check list for each event.
  • Review Special Event binder, complete packages, blue & yellow for the weekend.
  • Review equipment tracking on board is being done correctly.
  • Establishing and maintaining relationships with vendors and venues.
  • Remind drivers of the weekly events via text & phone call.
  • Track Inventory to make sure tickets are final then edit in TCR & Invoiced in QB.
  • Verify from TCR all completed jobs are changed from open status to invoiced status if job is complete.
  • Check that all tickets have been invoiced.
  • Make sure all invoices are in Quick Books & Paid.
  • Follow up with warehouse to provide you with VMS/AB inventory.
  • Send follow up email after event for Feedback.
  • Call/email for special events that are upcoming next month.
  • Review that calendar inside & out is updated at the beginning of each month by front desk.
  • All final review for events will be completed/approved by VP of Operations.
  • Company reserves the rights to add or change duties at any time.

Job Qualifications:

  • Associate’s Degree or Bachelor’s degree in business management, hospitality management, marketing or related areas (preferred).
  • Excellent verbal and written communication.

Physical Requirements/ Work Environment:

  • While performing the duties of this job, the employee is regularly required to stand, walk, sit and talk or hear, both in person and by telephone.
  • Requires lifting and carrying of up to 25lb or less.
