What are the responsibilities and job description for the Accounting Assistant (AP/AR) position at All Faiths Food Bank?
SUMMARY:
The Accounting Assistant manages several accounting functions, recording and reporting for AFFB, under GAAP, Feeding America, and federal, state, and local requirements.
ESSENTIAL FUNCTIONS:
· Maintains accounting records using Sage accounting software or an equivalent software package
· Oversee all accounts payable functions and ensure vendors are paid promptly
· Processing online and website payments for specific vendors
· Assist in the annual audit process, preparing all needed audit work papers; coordinate auditor requests with other staff members
- Accounting System Data Entry
o Ensure all direct expenses are passed onto programs and agencies
o Analyze the monthly and year-end entries into the accounting system
o Oversee the recording of donation deposits into the accounting system
o Reconcile donation revenue with Donor Information System
o Maintain a SAGE FA system for monitoring fixed assets
- Accounts Payables Entry
o Complete the accounts payables function ensuring that:
ü Goods or services were received for invoices presented for payment
ü All necessary approvals are obtained before payment occur
ü Proper payment dates for invoices are set-up and maintained. Review invoices entered in the accounting system for accuracy and coding to the correct account before checks are generated
ü Review expense coding of approved invoices and request verification for questionable transactions
ü Ensures all recurring vendor invoices are received for payment and follows up for those that are late
ü Apply for vendor credit when required
- Banking and Bank Accounts
o Sign up for online account access to gain real-time information
o Submit ACH for approval
o Release positive pay payables
o Submit a positive pay file
o Send monthly credit card spending reports to staff, requesting general ledger account information, and supporting documentation
o Review for accuracy and allocate expenses
- Accounts Receivable
o Process approved pantry and agency write-offs monthly
- Fixed Assets
o Ensure bills paid are for approved purchases
o Enter and maintain fixed assets data
o Tag and record new fixed assets
o Ensure subsystem ties to General Ledger for fixed assets, depreciation, accumulated depreciation, and fixed asset write-offs/gain/loss
- Audit
o Prepare all worksheets for auditors and answer all requests during audits
· Other
o Record assigned journal entries.
Knowledge, skills, and abilities:
- Proficiency in Microsoft Office products and accounting software is required, Sage Accounting preferred
- Ability to work independently in a fast-paced environment
- Must be highly organized, detail and deadline-oriented

QUALIFICATIONS:
- A minimum of 2-year degree in accounting
- A minimum of 3-5 years’ work experience, nonprofit accounting experience preferred.

Pay: $23.00 - $25.00 per hour
