Description
The Executive Assistant supports the President & CEO by coordinating administrative tasks and ensuring smooth day to day operations. The Executive Assistant also serves as the liaison to the Board of Directors.
Primary Responsibilities:
Performs functions, within scope of authority and expertise, to provide the highest level of service and responsiveness to members served by the Credit Union.
1. Provides high level administrative support to the President & CEO, including preparing correspondence, screening and directing phone calls, filing, sorting mail, calendar scheduling, etc. Provides administrative support to other credit union officers as directed.
2. Manages the relationships with the credit union’s Board of Directors. Coordinates all communications to and from the credit union and the Board of Directors.
3. Prepares the Board of Director’s monthly reporting packets. Maintains a history of all Board packets.
4. Organizes and attends monthly Board meetings and all Associate Director meetings. Prepares Board meeting minutes, maintains board attendance records as well as the Minute Books of all Board meeting minutes and Minute Book of Audit Committee meetings.
5. Makes arrangements for board educational seminars and conventions, and related functions.
6. Maintains central file of corporate documents, policies, procedures, and plans. Distributes updates to these documents as directed.
7. Coordinates the reimbursement of all Board expenses. Maintains detailed records of the expenses and completes reconciliations.
8. Serves as a member of the Community Support Committee. Schedules the committee meetings and maintains current and historical records of credit union’s donations. Prepares correspondence for donations including check requests, letters to recipients and other communications as necessary.
9. Prepares a comparison on an ongoing basis of all President & CEO general ledger accounts of actual expenses to budget.
10. Prepares the preliminary budget of the President & CEO expenses.
11. Provides documents to auditors and bank examiners as requested.
12. Assist in preparing for the credit union’s annual meeting.
13. Adheres to all AOCU policies and procedures. Responsible for compliance with the following regulations: BSA, OFAC, and other regulations as required.
Secondary Responsibilities:
1. Coordinates senior management events, planning sessions and provides required administrative support and contact with vendors.
2. Schedules and organizes the President’s breakfasts and luncheons.
3. Serves on various committees throughout the credit union as needed.
4. Orders supplies as needed for Administration.
5. Performs related administrative duties as may be assigned or requested.

The salary range for this role is between $28.44 - $35.55. Actual compensation will be determined based on experience and other factors as permitted by law. This position may be eligible to work remotely up to 2 days per week after 3 months of hire in accordance with the Work From Home guidelines.
Requirements
A two year college degree or equivalent through specialized coursework or training. Five to eight years of similar job experience. Excellent verbal and written communication skills. Strong attention to detail and organizational skills are required. Strong knowledge of Microsoft Office applications including Outlook, Word, Excel and PowerPoint. Excellent interpersonal skills and the ability to work with detailed information of a confidential nature. Previous event planning experience is preferrable. Ability to work occasional evenings to attend Board meetings.
