Founded in 1947 by Nina Vance, the Alley Theatre is a pioneer of regional theatre, and one of the leading nonprofit theatre companies in the United States. JOB STATEMENT
The Alley’s Receptionist will act as host to all visitors and guests to the Center for Theatre Production. This position reports directly to the Director of Operations.
JOB DUTIES
- Serve as first impression at the reception desk during all open business hours of the Center for Theatre Production.
- Assist the Director of Operations with maintaining the 18th floor including the mailroom, office supply, copier areas, and kitchen.
- Process and log all incoming and outgoing mail and deliveries.
- Assist the Director of Operations with internal Operations calendar planning.
- Enter all utility tracking information via Energy Star and prepare reports monthly for Director of Operations.
- Answer and process all incoming calls, visitors and inquiries as well as communicate with vendors, guests and donors.
- Manage facility access via elevator monitoring, intercom communications, and loading dock deliveries. Communicate clearly via radio with Janitorial and Engineering as needed.
- Maintain Level 18 conference rooms pertaining to appearance, cleanliness, and arrangement.
- Process and track purchases in department budget tracker.
- Distribution and inventory of new hire badges, parking cards, and keys, including a biannual audit.
- Management of current parking information for company and artists.
- Assist Executive Assistant & Board Liaison with meeting materials for all Board functions.
- Provide administrative support to Food &Beverage and Bar Managers.
- Create and post required directional signage for internal and external events.
- Process meter bagging permits with CoH and valet for Opening Night festivities. Complete other tasks and projects as assigned.
- Basic computer skills required for lamination, printing, and daily MS Office suite usage.
REQUIREMENTS (SKILLS and KNOWLEDGE):

- Detail oriented, able to prioritize efficiently and multi-task.

- Exhibits a positive attitude with good communication and interpersonal skills.
- Understanding of historical and institutional racism in the American theatre, or a commitment to learning, and to be a part of Alley Theatre’s efforts to be an anti-racist organization
- A demonstrated ability to meet deadlines under pressure.
PHYSICAL REQUIREMENTS/WORKING CONDITIONS:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift and move 25 lbs. routinely.
- Must be comfortable working in a fast-paced environment where directions and priorities can change rapidly.
