The Role: We are seeking a highly organized and proactive Executive Assistant to support the executive leadership of an independent retail grocer cooperative. This role requires exceptional administrative, communication, and problem-solving skills to assist with daily operations, strategic planning, and business efficiency. The ideal candidate will be detail-oriented, tech-savvy, and capable of handling multiple tasks in a fast-paced retail environment, ensuring smooth daily operations.
Executive Assistant Responsibilities:
Administrative Support
- Manage master event calendar, executive calendars, schedule and coordinate meetings and appointments, negotiate hotel costs and accommodations for large events, and A/V logistics.
- Preparation of meeting rooms and lunch accommodation.
- Prepare reports, presentations, and correspondence for executive review, ensuring accuracy and professionalism.
- Handle confidential information with discretion.
- Manage email communications, respond to inquiries, and draft official responses.
- Maintain accurate records, documents, and filing systems, including but not limited to office supplies, inventory, and functionality.
- Greet visitors and guests with a warm and professional welcome.
Human Resources & Team Coordination
- Support HR-related functions, including new hires equipment, scheduling interviews and managing employee documentation.
- Organize training sessions, team meetings, and employee engagement activities.
- Own and execute Employee Handbook review and Company Website review.
Executive Assistant Qualifications & Skills:
- Experience: 3 years as an Executive Assistant, preferably in retail grocery, or a fast-paced industry.
- Education: Associate’s or Bachelor’s degree in Business Administration, or a related field preferred.
- Technology: Proficiency in Microsoft Office (Excel, Work, Outlook, Power Point) and POS/ERP systems.
- Communication: Excellent verbal and written communication skills.
- Problem-Solving: Proactive approach in resolving issues efficiently.
- Confidentiality: Ability to handle sensitive information with discretion.
- Organization: Strong ability to multitask, prioritize, and meet deadlines in a detail oriented and proactive manner.
Work Environment & Schedule:
- This role operates in both office and retail store settings.
- Must be available for occasional weekends, early mornings, or evenings as needed.
- Some travel may be required for vendor meetings, industry events, or store visits.
