REPORTS TO: Vice President, Education & Professional Relations
RELATIONSHIPS: This position assists and works closely with the Education Team.
DUTIES AND RESPONSIBILITIES:
Education
- Collects and organizes outlines and CVs for CE Broker submissions.
- Enters Continuing Education credits and Continuing Education with Examination results
in the Florida Board of Optometry’s CE Broker system.
- Manages CE credit disputes and updates CE credit data in the SalesForce system.
- Assists with submitting course outlines and curriculum vitae for CE program approval
with optometric accrediting bodies.
- Assists with preparing attendee course materials for the Merton C. Flom Leadership
Academy.
- Solicits and schedules student and resident volunteers for the annual meeting and creates
signup sheets to monitor them.
- Assists the Lectures & Workshops (L&W) Committee with scheduling Education Quality
Assurance Committee (EQAC) monitors for educational sessions.
- Assists education team with online submission system for L&W and Scientific Program
(SP).
- Collects and combines presentations for Residents Program.
- Coordinates and provides administrative support for honoraria and expense
reimbursements.
- Communicates with Accounting Department and provides data pertaining to speaker
honorarium donations.
- Creates, tracks and manages session evaluations for L&W, SP, Leadership programs.
- Distributes survey results to L&W, SP, Leadership Committees and all speakers.
- Assist the L&W and SP Committee with requests related to the education program.
- Provides meeting app program support to speakers (e.g. moderated Q&A, polling).
- Coordinates collection of speaker agreements, tax forms, etc.
- Collects and processes handouts to be posted on the mobile app.
- Orders, proofreads awards (plaques, medals), and ships them to the meeting site.
- Coordinates materials for CE submission for Symposia and Diplomate Prep Courses
(outlines, Consent & Disclosures forms, CVs).
- Orders speaker gifts and coordinates the design of thank you messages for volunteers and
speakers.
Customer Service/General
- Processes visa letter requests
- Supports education program and committees at the Annual Meeting.
- Serves as the first point of contact for education-related inquiries.
- Proofreads printed and digital materials (such as Program Preview, Education Grid,
signage, newsletter, website, mobile app).
- Submits department invoices to Concur.
- Updates records in SalesForce.
- Ships meeting materials to the meeting site.
All other duties as assigned.
Requirements:MINIMUM SKILLS AND QUALIFICATIONS
- Advanced knowledge of personal computers, including word processing, spreadsheets,
email programs and internet.
- Analytical and problem-solving skills.
- Knowledge and experience with principles and practices of organization, planning,
records management, research and general administration.
- Excellent written and oral communication skills.
- Strong proofreading skills and attention to detail.
- Outstanding customer service skills.
- Prior non-profit experience preferred.
