Job Title: Front Desk Administrative Medical Assistant, Bilingual

Schedule: Normal business hours (8am - 5pm) Monday - Friday (no weekends, no nights), Full time

Pay: Starting pay $12.50 - 16.50 per hour, based on experience

Required Experience: Although experience as an Administrative Medical Assistant, Medical Receptionist, or Front Office CMA is great, we are looking for the right match for our company culture and the position. General Summary:
At Arroyo Vista Family Medicine, the Administrative Medical Assistant is the first point of contact for patients, health service professionals, and other customers. As such, the right person for the position will portray the practice in the highest possible level of warmth and professionalism. This position requires an individual who is flexible, organized, and able to manage a demanding workload with accuracy.

Principal Duties and Responsibilities:

1. Positive Energy:

  • Focuses on finding and offering solutions rather than voicing complaints and is able to accept when things are outside of one’s locus of control

2. Customer service:

  • Welcomes and greets patients/clients/visitors in a manner that is helpful and friendly; determines purpose of visit and direct patients/clients/visitors to appropriate person or department(s); informs patients/clients/visitors of any delays
  • Exercises problem-solving and de-escalation skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed
  • Ensures reception and waiting areas are kept neat and tidy throughout the day
  • Sends follow-up questionnaires and solicit patient feedback

3. Scheduling:

  • Optimizes providers’ schedules and patient satisfaction with efficient scheduling and foresight
  • When scheduling appointments, carefully screens patients for new address, new patient visit or update registration and informs patient of adequate information that must be presented at time of visit including payment for any existing balance
  • Books in, amends, and cancels patient appointments efficiently. Calls patients to remind them of upcoming appointments and labs. Relays information to patients regarding preparation for laboratory tests and examinations. Schedules follow-up appointments, and input recall notices into EMR as needed

4. Clerical and administrative tasks:

  • Obtains patient demographic, verifies insurance information at each visit, and prepares superbills
  • Ensures patient paperwork is entered or uploaded and labeled accurately in patients’ electronic charts; ensures availability of treatment information by retrieving and updating patient records
  • Documents and monitors patient appointments, referrals, appointment cancellations, no-shows, etc.
  • Opens, sorts, reviews, and distributes incoming mail and faxes
  • Prepares routine correspondence and reports accurately

5. Phones and messaging:

  • Answers, directs, and/or documents all phone calls/messages promptly and accurately
  • Answers phone calls/messages courteously, taking messages or transferring calls, providing information, and reporting and faxing to the appropriate personnel. Documents phone conversations accurately and ensures they are attended to and brought to the attention of the relevant person
  • Manages messages (flags, phone, email, etc.) and ensure they are attended to in a timely manner

6. Patient collections:

  • Advises patients of relevant charges for services, accept payment and issue receipts for same. Identifies and resolves minor patient billing complaints
  • Ensures outstanding balances, coinsurances, deductibles, copays and self-pay balances are collected at the time of service
  • Prepares and balances daily financial registers

7. Safe, efficient, and organized work environment:

  • Exercises strict confidentiality in regard to patient care and all aspects of the practice
  • Maintains knowledge of common safety hazards and precautions to establish a safe work environment
  • Is proactive in assessing urgency in situations to the best of ability and communicates information to appropriate person in a prompt manner
  • Maintains office, cleaning, and restroom supply areas and ensures items are organized and stocked. Tracks supply levels for ordering and replacement
  • Ensures the readiness of the reception area for each working day; has needed copies and forms ready
  • Perform opening and closing duties when scheduled to do so

8. Performs other assigned duties as assigned

  • Provides temporary cross-covering for other positions as needed where applicable

  • Assists with sister company, Forefront Medical Research Institute (which is located within the same building), occasionally as needed
  • Other duties as assigned

Qualifications/Experience/Competencies:

  • Has experience in clinic front desk setting, or in customer service setting. CMA certification strongly preferred
  • Can SPEAK Spanish fluently (strongly preferred). Please note that some of our interview questions are in Spanish to evaluate how comfortable you are with communicating with Spanish-speaking patients
  • Has strong attention to detail and is skilled at identifying problems and recommending solutions
  • Is highly adaptable and able to handle a variety of tasks with various deadlines. Can handle a fast-paced environment and prioritize tasks based on importance while maintaining themselves calm and collected
  • Displays excellent interpersonal communication skills and maintains professionalism in conduct and appearance at all times
  • Highly proficient computer skills including experience with Microsoft Office; familiarity with electronic medical record systems preferred
  • Seeks and receives feedback in a positive manner. Demonstrates responsibility and accountability for professional practice, continued growth and self-evaluation

  • Some standing, bending lifting. Frequent use of computer
