Overview/Rationale:
Augusta Preparatory Day School is actively seeking to hire a professional for the position of Controller. The Controller is an integral member of the Business Office team and the ideal candidate will work well independently yet must also value collaboration and teamwork. The Controller reports directly to the Chief Financial Officer (CFO) and is responsible for the management and accuracy of the School’s financial records. The successful candidate must have strong communication skills and be able to analyze financial data and communicate results effectively to all constituents including the administration, faculty, staff, and trustees.
Primary Responsibilities:
- Participate fully as a member of Augusta Preparatory Day School and of the Business Office team in support of a culture of community, respect, trust and continuous improvement
- Provide leadership for all accounting and financial functions; promote a service-oriented environment; provide training, direction, motivation, and opportunities for skills development
- Assume the primary responsibility for the general ledger and all organizational systems and processes that support it
- Responsible for managing the accounting department entries, assuming accurate and timely financial information
- Prepare all monthly reconciliations for cash, investments, receivables, pledges, payroll accounts and reports, and payables
- Ensure that the School complies with all applicable accounting procedures and standards in accordance with Generally Accepted Accounting Principles (GAAP) and the Financial Accounting Standards Board (FASB), and all other regulatory requirements
- Coordinate the annual financial audit including preparation of reports and reconciliations required for the audit, drafting the financial statements, and assisting the auditors as needed
- Coordinate the preparation of the School’s federal and state tax returns with the auditor, Forms 990, as well as tax returns for the 403(b) retirement plans (Form 5500), annual Form 720, biannual MCS-150, annual EEO-1, and workers compensation audit
- Prepare monthly financial statements in coordination with the CFO with related budgets, cash flow analysis and projections, investments accounting and analysis, fundraising accounting and analysis, and other financial statistical reporting.
- Ensure provision of timely and accurate monthly budgetary/forecast information to management and departmental heads; perform analytical review procedures and audit individual department budget/forecast performance.
- Supervise the daily operations of the Business Office related to all AR and AP activities. Provide ongoing assistance to co-workers with student billing, donation tracking, extracurricular income, accounts receivable, accounts payable and purchasing as needed
- Collaborate with the Director of Development to reconcile and report on donations to the CFO monthly and annually
- Assist the Chief Financial Officer with payroll management and benefit oversight (new enrollment, onboarding, benefits, terminations)
- Ensure accurate and timely payroll processing for the monthly payroll
- Ensure all quarterly and annual reports are completed and filed timely (W-2’s, G-7’s, 941’s, 1095’s, 1099’s, etc. )
- Monitor and communicate employee 403(b) enrollment, eligibility, reconcile payroll and retirement reports, verify and transfer funding, and year-end reporting
- Work to maximize department utilization of Blackbaud accounting system and other auxiliary and giving financial software
- Work to continuously improve the School’s accounting, financial reporting and internal control policies and procedures
- Collaborate with the Chief Financial Officer to complete reports, surveys, and annual budgets as required
- Assist the CFO with monitoring cash flow and investments to ensure adequate funding and to maximize investment income. Monitor and maintain recording of restricted and unrestricted funds.
- Ensure items are capitalized appropriate and reconcile fixed assets to the general ledger accounts
- Monitor and maintain all additions and dispositions of property, plant, and equipment
- Handle sensitive and confidential information with the highest level of professionalism and care
- Attend all school meetings as requested
- Other duties as assigned by the CFO
Qualifications:
To perform this job successfully, the employee must be able to perform each essential duty to high standards. The requirements listed below are representative of the knowledge, skill, and/or ability required:
Education
- Bachelor’s Degree in Accounting
- Advanced degree or CPA certification, advantageous but not required
Experience
Minimum of 5 years of experience in a progressively responsible accounting position within a not-for-profit or comparable field, preferably in private education
Knowledge, Skills and Abilities
- Ability to think analytically and strategically
- Advanced computer skills and expertise in Microsoft Excel, Word, and Google required; thorough knowledge of payroll and accounting and business software applications, experience with Blackbaud NXT desired
- Exceptional analytical, mathematical and quantitative skills
- Detailed orientation with accurate objectives and outcomes
- Excellent interpersonal, communication and presentation skills
- Motivated to work collaboratively with a diverse group of faculty, staff, parents and other constituents with fairness, respect, consistency and integrity
- Demonstrated ability to work independently and manage multiple priorities effectively while maintaining the highest professional standards
- Ability to develop proposals and presentation materials, and other written materials
- Above-average reading and writing skills
Physical Demands
- Prolonged periods of sitting at a desk and working on a computer
- Ability to use visual display terminal with continuous wrist movement on a keyboard
- Finger dexterity required to manipulate objects with fingers rather than whole hand(s) or arm(s), for example using a keyboard and/or mouse
