Augustana University invites applications for a full-time Payroll Administrator. This year-round position oversees and manages payroll activities for all employee classification, with a focus on multi-state U.S. payroll operations.

Duties include but are not limited to:

  • Process bi-weekly and monthly payrolls for all employee groups by collecting, validating, and transmitting payroll data while ensuring accurate calculations and timely reporting of withholdings, deductions, garnishments, and special payments.
  • Manage retroactive adjustments, overpayments, underpayments, and employee setup for deductions and benefits, leveraging technology and collaboration with staff to streamline operations.
  • Conduct regular internal and hiring audits to verify payroll accuracy, ensure compliance, and support workers' compensation and financial requirements. Collaborate with external auditors during financial, tax, and compliance audits by providing necessary documentation and supporting payroll compliance standards.
  • Support payroll compliance requirements through third-party reporting, benefits compliance, tax compliance management, overtime and wage compliance, and staying informed on regulatory updates.
  • Analyze and interpret payroll data for accuracy, support reconciliation with the general ledger, and collaborate with the Business Office to address funding and account discrepancies.
  • Identify inefficiencies in payroll workflows and recommend improvements to enhance accuracy and efficiency.
  • Investigate and resolve discrepancies between payroll data, timesheets, and accounting records.
  • Collaborate with the finance team to provide payroll data for budgeting and forecasting employee costs.
  • Oversee employee payroll and banking information within the HRIS system. Ensure the accuracy and functionality of employee records by running regular audits and generating detailed reports.
  • Optimize technology to improve payroll processes and ensure efficient data handling.

Qualifications:

  • Three to five (3-5) years of professional experience in payroll.
  • Excellent accounting skills.
  • Strong communication, interpersonal, organizational, and project management skills.
  • Experience in payroll process improvement, documentation, and establishing payroll policies.
  • Thorough knowledge of federal and state regulations on payroll, benefits, and taxes.
  • Experience with multistate payroll ensuring compliance with varying tax and labor laws.

Preferred Qualifications:

  • Bachelor’s degree.
  • Knowledge of the ADP payroll processing/reporting applications is strongly preferred.
  • Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) is preferred.
  • A working understanding and knowledge of higher education and non-profit sector highly valued.
