Position Summary
The Janitorial Operations Supervisor plans, organizes, coordinates, executes and supervises the daily functions of the janitorial and staffing operations for assigned business portfolios. This position is also responsible for acting as liaison between clients, operations, leads, support and other staff members and stakeholders.
Core Responsibilities
- Strives for 100% employee retention; program and employee satisfaction; assists with overseeing and developing programs to identify and effectively plan for staff attrition
- Plans, develops, organizes, implements, evaluates, and directs daily janitorial and staffing operations for assigned business portfolios, including (but not limited to) overseeing employee relations/retention in concert with the Human Resource Department and project campaigns; ensures adherence with contractual obligations and requirements
- Conducts routine worksite inspections (including but not limited to floor care); reports and follows-through on noted deficiencies
- Meets pre-defined budgetary goals for various projects, jobs, contracts, and supplies for each assigned business portfolio
- Maintains and oversees contract specifications; service quantity and quality as appropriate
- Verifies timekeeping records daily
- Provides coverage for janitorial efforts including (but not limited to) cleaning, stocking, etc.; performs any general cleaning/porter job functions as needed
- Conducts routine quality control
- Procures janitorial supplies; performs and maintains accurate inventory of consumable goods (towels, tissues, etc.)
Supervisor Responsibilities
- Ensures the effective on-boarding/orientation and training of all assigned personnel; effectively engages internal and external personnel to amplify the Company to result in a positive industry experience
- May participate in accurately completing new hire and other paperwork; schedules and oversees onsite orientation and onboarding processes
- Coaches, mentors, motivates and supervises team members; positively influences personnel to take positive action and accountability for their assigned work; monitors, ensures and oversees work quality
- Works directly with the Human Resource Department to resolve employee grievances; maintains harmonious employee relations
- May act as a liaison for company communication; communicates appropriate compliance information to leadership
- Effectively resolves issues; routinely communicates resolution initiatives to appropriate personnel in a timely and consistent manner.
- Responsible for documentation of counseling efforts; escalates employee situations as appropriate.
- Participates in monitoring and evaluating the effectiveness of employee programs, adjusting as necessary, to ensure learning and team member retention.
- Learns and communicates personnel policies and procedures, Employee Handbooks and/or other formal and informal communication.
- Ensures effective prevention of sexual and other unlawful harassment throughout the organization; ensures appropriate adherence to EEO regulations.
- Coordinates and communicates routine training programs as appropriate
- Monitors, develops, and oversees performance evaluations for the Company; notifies and assists leadership with employee performance processes; analyzes past results and performs variance analysis
- Ensures all employees have been trained on appropriate safety protocol for equipment, chemicals; MDS and fire extinguisher locations, and other safety requirements as appropriate; performs and communicates safety audits
- In concert with the Human Resource Department, coordinates Workers’ Compensation program including (but not limited to) injury and witness statement documentation
- Mitigates, and resolves unnecessary risks by anticipating/finding discrepancies and sending out the proper request for information to obtain the correct answers
- Provides accurate information, answers and maintains quality interactions with all personnel
- Communicates accurate recruiting needs to appropriate personnel in a timely manner
- Completes appropriate reports and/or paperwork for employee changes, transfers, requests, etc.; communicates information as appropriate
- Identifies current and future recruiting needs according to contractual and production goals and obligations; remains familiar with open position tasks and responsibilities
- Collaborates with department managers to compile a consistent, accurate list of position openings and requirements; assists the Human Resource Department with updating job descriptions and ADA requirements; communicates and coordinates accommodation efforts
- May review applications; may participate in onsite and virtual interviews with potential candidates, as applicable
- Promotes the company’s reputation and attractiveness as a good employment opportunity; communicates special programs, referral and bonus opportunities
Other Responsibilities
- Promotes and maintains the effectiveness and reputation of the organization
- Promotes strategic and generative discussions; attends meetings as required
- Works closely with the team, managers, and other key personnel and contacts for seamless integration of new and existing project management responsibilities and functions; elicits cooperation from the same

- Maintains positive and productive relationships with various agencies supportive of the Company initiatives such as community groups that support employment of those with disabilities; veterans, minorities, etc.
- Notifies the Human Resource Department of departing employees in a timely manner
- Responsible for accurately monitoring, maintaining and overseeing reports, documentation, recordkeeping, correspondence, communications, etc.; follows established procedures when creating proposals and documents
- Effectively utilizes and maintains knowledge of all required tools corresponding with Janitorial Operations Supervisor Equipment List
- All other duties as assigned for the successful execution and/or completion of various projects whether or not specifically assigned.
