The Document Control Specialist is a crucial component to ensuring the day-to- day operations of our clients run smoothly and efficiently. An ideal candidate for our team would have construction, technology, or customer service experience, although this is not a requirement. This role requires the ability to work well on a remote team.

What you'll do…

Document Management & Version Control : Develop and maintain the document management plan, ensuring proper classification, organization, storage, and version control with comprehensive revision tracking.

Review, Approval & Access Control : Facilitate the document review and approval process, ensuring timely stakeholder involvement, and manage access controls to protect sensitive documents according to project roles.

Stakeholder Coordination & Communication : Act as the primary liaison for high-level stakeholders, including project executives, contractors, and consultants, ensuring seamless collaboration and document accessibility.

Quality Assurance & Compliance : Conduct regular audits of document control processes, ensuring compliance with ISO standards and regulatory requirements, and address non-compliance issues promptly.

Training, Support & Workflow Management : Provide training and ongoing support for document control procedures, optimize workflows for efficiency, and coordinate with project managers to ensure smooth document handling.

Retention, Archiving & Communication : Develop and enforce document retention policies, ensure proper archiving and disposal, and serve as the primary point of contact for document control matters, facilitating communication with stakeholders.

You should have

2 years' experience in Document Management, preferably within the construction or technology industry

Proficiency in Autodesk Construction Cloud (ACC) and related document management tools

Experience working with high-level stakeholders, including executives, project owners, and key decision-makers

Strong leadership, attention to detail, problem-solving abilities, and a proactive approach to workflow optimization

Ability to multi-task and thrive in a fast-paced, remote work environment

Preferred Qualifications

Experience in the Construction industry as it relates to business processes or project management

Experience in the Technology industry as it relates to software implementations and administration

Experience in the Customer Service industry as it relates to software support

Experience with construction project management systems (i.e., Autodesk Construction Cloud, Primavera Unifier, Microsoft Project, e-Builder, Procore, Newforma, etc.)
