Job Title: Trust Assistant I
Department: Trust Department / Administration Group
Reports To: Trust Administration Supervisor
SUMMARY
The Trust Assistant I provides essential supporting service in the discharge of the Company’s fiduciary duties. In a coordinated effort with other members of the Trust Department, the Assistant will have responsibility for an assigned book of client accounts.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned by the Trust Administration Supervisor, the Trust Administrators or the Trust Officers.
§ Develop and maintain a current working knowledge of all assigned accounts and the family groups of which they are a part.
§ Develop and maintain working relationships with the Trust Officers and Administrators responsible for assigned accounts.
· Trust Accounting / Custodial Processing:
o Develop and maintain a working knowledge of proper use of the trust accounting system and company control policies and procedures.
o Ensure accuracy of all transactions entered on the trust accounting system, including descriptions and coding, with attention to the effect of coding on client statement appearance.
o Under direction of Administrators or Supervisor:
§ Process functions related to account openings and closings.
· Process batch transactions such as fees, appraisals, tax payments, security litigation settlements, and recurring disbursements.
· Process incoming check deposits.
· Process partnership capital calls, capital distributions and investment transactions.
· Process miscellaneous ad-hoc transactions.
· Investment Documentation: Assist the Administrators and Officers in the preparation, dissemination, recording and filing of investment subscription and redemption documentation.
· Meeting Book Preparation: Produce and assemble client meeting materials books.
· Filing: Electronically and/or physically file documents and records of the Trust Administration department.
· Database Maintenance: Maintain trust department and company databases and logs as assigned from time to time.
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.

EDUCATION AND EXPERIENCE
High School diploma or general education degree (GED) and three years of work experience in a business office environment. Some college preferred, but not required.
SPECIAL SKILLS
Good organizational skills with attention to details.
Proficiency with PC and Microsoft Office programs, specifically including Excel.
Ability to operate general office equipment.
LANGUAGE SKILLS
Ability to read, write and speak in clear and grammatically correct English in face-to-face, telephonic and electronic environments.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute percent.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
PHYSICAL AND ENVIRONMENTAL DEMANDS
While performing the duties of this job, the Assistant I is required to repetitively move arms, wrists and hands in either a sitting or standing position for occasionally extended periods of time. The Assistant I is consistently required to use hands to type on computer keyboard, manipulate mouse, and operate a telephone. The Assistant I is frequently required to bend, and twist neck, and occasionally required to climb or balance and stoop, kneel, or crouch. The Assistant I may occasionally lift and/or move up to 10 pounds and infrequently lift and/or move up to 25 pounds.
The Assistant I is frequently required to talk and hear. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus. The office environment is typical in its levels of light, sound, and temperature with normal variances occurring from time to time in each element.
