Starting Salary : $35 / hour
Position Summary
The part-time Payroll Specialist is responsible for maintaining our HRIS / Payroll system and processing payroll according to schedule and in the correct amount. Duties include consolidating timesheet information and entering data into payroll databases, calculating paycheck amounts and distributing funds to employee accounts. Management of the benefits calculations and company retirement plan is also an essential part of the job.
This is a part-time position, averaging 30 hours per week, and requires you to be on location or in the office 20 hours per week.
Essential Duties and Responsibilities
- Conducts bi-weekly payroll for 9 EINs
- Processes garnishment and child support orders
- Process and issue employee paychecks and statements of earnings and deductions using automated HRIS Software (Toast Payroll).
- Review time sheets, wage computation, and other information to detect and reconcile payroll discrepancies through audit.
- Verify attendance, hours worked, and pay adjustments, and post information onto designated records, including adding orientation hours, training, and event pay.
- Process any travel stipends (monthly) and technology stipends (yearly)
- Process employee terminations throughout company systems.
- Process final pays according to state-regulated guidelines with support from the Finance Department.
- Update and process employee change information across company software, such as added locations, transfers, rate changes, and promotions / demotions.
- Partner with a payroll company to issue and record adjustments to pay related to previous errors.
- Keep informed about changes in tax and deduction laws that apply to the payroll process.
- Provide information to employees and managers on payroll matters, tax issues, and benefit plans.
- Answer inquiries and manage any needed corrections of leave time for employees, such as vacation, personal, and sick leave.
- Manage the administration of 401K retirement plans, including enrollments, changes, and updates.
- Manage the administration of recruiting platform, onboarding new hires, and e-verifying claims.
- Manage the administration of monthly Benefits enrollments, billing reconciliation, and quarterly / annual audit requests.
- Send out COBRA requests.
- Conduct verifications of wages.
- Complete government forms and request information related to wages / payroll.
- Streamline and enhance current payroll processes / policies.
- Interpret and explain payroll / human resources policies, procedures, laws, standards, or regulations to all staff.
- Serve as the first line of defense for employee inquiries regarding benefits, payroll, policies, etc., alongside the rest of the HR team.
- Ensure W-2s, 1099s, and other tax forms are distributed to all employees each January.
- Ensure timely and accurate enrollment of employees in benefits programs during open enrollment and new hire onboarding.
- Maintain accurate employee records related to benefits and retirement programs.
- Submit monthly enrollment changes, elections, and terminations to benefits providers to ensure accurate benefit deductions and reconciliations.
- Maintains an attitude and philosophy consistent with the company's standards and values.
Qualifications :
Data Entry, Technology savvy, Office Management, Organization, Proficiency in Google / Microsoft Office Suite, Time Management, Strong Written and Verbal Communication, Attention to Detail, Problem-Solving, Multi-tasking, Reporting, Researching, Scheduling, Typing, and Computer Skills. Experience with Toast Payroll is Strongly Preferred.
