Receptionist/Secretary
Role Overview:
We are looking for a Receptionist/Secretary to join our experienced construction and property management team. This role involves providing administrative support to managers and handling essential office tasks.
Key Responsibilities:
- Answer and direct incoming calls, offering excellent customer service.
- Maintain and track Certificates of Insurance (COI) for subcontractors, tenants, and contractors.
- File and organize property documents, such as leases, contracts, reports, and maintenance requests.
- Manage emails and prepare tenant correspondence (memos, lease renewals, etc.).
- Coordinate tenant move-ins and move-outs, ensuring required documents and authorizations are in place.
- Update and maintain contact lists for tenants, employees, and contractors.
- Assist with accounts receivable and scheduling plumbing service work.
- Use Excel to track and report data related to property management, leases, and accounts.
Qualifications:
- Strong multitasking skills and proficiency in Excel and other Office 365 applications (Word, PowerPoint, Teams).
- Prior experience in property management is a plus but not required.
Physical Requirements:
- Must be able to operate office equipment (keyboard, telephone, copy machine, etc.).
- Able to walk up and down stairs occasionally to access files and move office items.
Job Type: Full-time
Pay: $17.00 - $19.00 per hour
Expected hours: 30 – 40 per week
