We are seeking a motivated, detail-oriented self-starter to fill the full-time position of Operations Coordinator, which is available immediately. The role functions as an assistant to the Executive Director and reports to and works alongside him in managing the internal operations of the organization. This position is expected to work full-time in our downtown Chicago office located in The Loop, applicants must currently reside in the Chicago area.

Administrative / Office Operations
Oversee day-to-day operations of the office and manage all aspects of assigned projectsMiscellaneous on-going front-office administrative tasks such as monitoring incoming phone calls and mail, file maintenance, assisting with correspondence and mailings, greeting guests, and problem-solvingManage all logistical coordination of organizational eventsMaintain and organize official records and documentsAssist in preparing reports, minutes, and materials for staff, Board, and Committee meetingsMaintain office calendar, internet, phone / voicemail systems and provide basic IT support.Provide support in fundraising, event planning, and donor / sponsor outreachMaintain supplies and materials; manage vendor relationshipsDatabase administrationSupport the ongoing development of policies, procedures, systems, and organizational infrastructureOther projects as needed or requestedBookkeeping & Financial Support :
Accounts Payable – managing outgoing checks and paymentsAccounts Receivable – handling incoming donations and bank depositsPrepare information for and coordinate with external accountants and bookkeeper to facilitate monthly reconciliations, tax payments, and auditSupport the development of budgetsPerform internal monthly reconciliations, tracking, and reportingDonor management, collection, and retentionMaintain detailed financial record keepingCompensation
