Position: Administrative Assistant

About this Role
The Full-Time Administrative Assistant at Calvary Baptist Church will serve as the linchpin for all administrative operations, providing crucial support to the entire staff, including the lead pastor, associate pastors/ministers, and ministry directors. This role is pivotal in maintaining the church's operational efficiency and ensuring seamless communication with the congregation and the broader community.
Primary Responsibilities
1. Staff Support and Coordination:
- Help manage and organize the church/staff calendar efficiently, ensuring seamless coordination and timely execution of tasks, events, promotions, ministries, and meetings.
- Facilitate comprehensive staff administrative support by preparing necessary materials, issuing and receiving phone calls, creating documents, making copies, and editing promotional materials and resources for various projects and events.
- Provide a wide range of support for staff ministerial needs, including ordering materials and resources, assembling promotional items, execution of mail/email communication, etc.
- Attend staff meetings. Prepare and distribute meeting agendas and materials as needed and ensure all relevant parties are adequately informed of all congregational requests.
2. Congregational Interaction and Support:
- Act as the primary point of contact for members and guests, providing guidance and support for event scheduling, facility usage, prayer requests, and information on church procedures.
- Offer administrative assistance to elders, staff, and church members, addressing concerns and ensuring their needs are met in alignment with church policies and beliefs.
- Implement effective systems to track data relevant to our mission and ministry, such as attendance and membership, and maintain a streamlined process.
3. Communication and Promotional Materials:
- Working closely with the communications director to help oversee and streamline communication channels between staff, event coordinators, and various ministry leaders to ensure effective dissemination of information.
- Develop and manage the production of high-quality promotional materials, such as brochures, monthly newsletters, and other communication assets for the congregation, maintaining a consistent and professional brand image.
- At the request of ministry staff, manage and implement effective church-wide email or print communication and invites.
4. Administrative Operations:
- Maintain meticulous inventory control and efficient procurement processes for all office supplies and equipment, tracking usage and ordering as needed to avoid shortages.
- Oversee and manage incoming and outgoing communication, both physical and electronic, with discretion and confidentiality as necessary.
5. Technology and Software Management:
- Provide technical support and guidance on various software platforms, including Planning Center, Microsoft Office Suite, InDesign, Canva, Church Management Software (CMS), Microsoft Teams, Google Suite, and others as required.
- Spearhead efforts to research and implement new software or systems, offering training and guidance to staff as necessary to optimize office efficiency.
