ABOUT US:

Careteam Plus, located in and serving the Grand Strand Myrtle Beach/Georgetown/Pawleys Island and Conway, SC area, is a primary medical and specialty care healthcare organization offering services for the entire family, from newborn to the elderly. POSITION SUMMARY:

The Executive Assistant (EA) is responsible for assisting the Senior Administrative Team with a multitude of reoccurring tasks, special projects and ad hoc tasks daily. The tasks cut across all areas of the organization such as general administration, Human Resources, Planning and Development, Quality, Patient and Client programming, Transportation/Maintenance mgt, Fleet maintenance and Finance.

ESSENTIAL DUTIES and RESPONSIBILITIES:

  • Providing general administration office administrative support to administration personnel.
  • Examines inventories and works with team to ensure ordering of supplies for multiple locations.
  • Data entry into record keeping and various types database systems.
  • Completes copying, filing, emailing, and scanning of information/documents.
  • Makes deliveries, runs errands and motivates throughout the community as may be necessary for several different reoccurring projects and events/general task as needed.
  • Processes incoming correspondence mail, sorts, triages and facilitates delivery and receipt.
  • Processes outgoing mail in accordance with company protocols. Meters and delivers to post box.
  • Liaison to CEO and project specialist to assist with special projects and any identified needs.
  • Assist front desk operation with time sensitive patient communication/calls such as when provider calls out sick and patients need rescheduled, or in general need to swiftly move patients around. Is a customer experience champion and cheerfully assists with patient and client calls if needed.
  • Outlook expert, coordinates and schedules meetings as requested.
  • Completes Human Resources Office functions such as references checking, data entry, staff minor and major celebrations reminders and coordination, compliance checks, E-verify process, education reports and more.
  • Completes Finance, Quality and Clinical AA department functions as needed by the executive leaders of those areas.
  • Point of contact to triage and facilitate resolution to maintenance issues, utility issues, phones and PC tickets and other external vendor and contacts management.
  • Manages multiple vehicle maintenance and cleaning program. Works with transportation drivers to complete assigned maintenance tasks when due.
  • Assist with remote meeting set up, facilitation and minutes including weekly executive meetings, monthly board meetings, quarterly staff meetings and more.
  • Base level troubleshooting; go-to person for electronic medical record lock-outs and more.
  • Manages vehicle insurance and registration and other documents program to ensure compliance.
  • “Can do” person, does anything and everything businesswise to help the team and proactively identify ways to “take something off the shoulders” of the senior administrative team members.
  • Careteam staff work together as a team and help each other and patients/clients by performing other duties as assigned.

QUALIFICATIONS:

Education

  • Highschool diploma required.
  • Associate Degree in related field preferred.

Experience

  • A minimum of 2 years specific EA experience required.
  • Prior experience in Healthcare setting office assisting preferred.

  • Must be a 100% can-do positive attitude person.
  • Effective verbal and written communication skills required.
  • Organized, flexible and able to time manage competing priorities required.
  • Ability to maintain even keel approach. Doesn’t know a “bad mood Monday”.
  • Takes instruction and education as a positive learning experience.
  • Evidence of sound decision-making judgment and resourcefulness in problem solving required.
  • High level computer skill proficiency, including but not limited to Microsoft Office software with a heavy emphasis in Must answer excel questions and present sample work.

Other

  • Meets Careteam Plus Employee Health Tuberculosis screening program requirements.
  • Valid SC drivers license in good standing
  • Personal vehicle to run errands from time-to-time such as post office, grocery store, catering pick up etc.

The Planned schedule to start is as below , but might adapt and change if different work hours are needed for special projects like facility painting:

M, W and Th 8a to 5

Teus 8a to 6p

Fri 8a to 1p

with a 1/2 hour unpaid lunch daily (40 work hours per week) M-Th
