Position Description and Responsibilities

Position: Office Administrator

Reports to: President & CEO

Position Type: Full-time, Non-Exempt (40 Hours)

About Catherine’s House:
Catherine’s House (CH) is a 501(c)(3) non-profit organization. Our mission of mercy is to love and empower women and children who are homeless through safe housing and services that build self-sufficiency.
Catherine’s House was founded in 1992 as a ministry of the Sisters of Mercy, and is located in Belmont, NC.

Position Summary: The role of Office Administrator will assist in the performance of both administrative and programmatic duties at Catherine’s House.

Above all the Office Administrator must:

  • Be committed to the values of Catherine’s House and the Sisters of Mercy;
  • Be comfortable with and respond positively to the diverse residents served by Catherine’s House;
  • Maintain standards of confidentiality within and outside of Catherine’s House and always assume a professional relationship in dealings with residents and program constituents;
  • Be flexible in order to meet the changing needs of Catherine’s House and the residents who are served;
  • Be willing to work as a team member in the advancement of the ministry’s mission.

Major Duties and Responsibilities (included but not limited to):

  • Maintain the Donor Perfect System to ensure that all donor information is current, accurate and organized most effectively to assist in fundraising activities. o Data entry o Generate reports and distribute o Update thank you letter templates as needed
  • Perform employee, volunteer and new resident background checks as assigned.
  • Prepare and make bank deposits, copy checks and forward deposit information to accountants. o Confirm accuracy of Donor Perfect entry totals with bank deposits
  • Prepare and mail acknowledgement (thank you) letters to donors.
  • Go to post office and pick up, sort and distribute mail to staff and residents.
  • Answer telephone and door when volunteers are not available.
  • Prepare and maintain all ministry policies and manuals including Board of Directors’ manuals, and

Board of Directors’ meeting and minutes book.

  • Send Sisters of Mercy Board information as requested.
  • Staff the Board of Directors meeting and prepare mailings/emails, maintain minutes and contact information for Board notification, etc. o Set up Board meeting room o Provide and prepare snacks and drinks o Clean up
  • Assist the Development Director as needed.
  • Assist the Overnight and Weekend House Managers as needed.
  • Prepare and maintain payroll information and reports, PTO accrual information, and time sheets for computing staff compensation. o Enter payroll online o Mail paystubs, PTO, bonuses, pay changes, etc. to employees o Create and distribute new timesheets to employees
  • Work with accountant and payroll provider on calendar and fiscal year-end tax preparation and employee changes.
  • Establish and maintain employee records for hiring, termination and the implementation of employee benefits as scheduled.
  • Work with Christians Brothers and maintain HR manuals for health insurance, retirement, life insurance, long and short-term disability.
  • Keep all receipts for Catherine’s House employee credit cards until bill comes in, match and code them to the invoice, give to CEO for approval, and send to the accountants for payment. o Match and document payment of each invoice to accountant’s transaction report o File paid invoices
  • Responsible for arranging the repair of staff and computer room computers, email, telephone system,

Wi-Fi, cable, and copy machine.

  • Assist in the staffing of Catherine’s House including holiday periods.
  • Order office supplies
  • Perform other duties as assigned.

Reports to: The President/CEO, Catherine’s House

Employees Supervised: None

Interrelationships: Staff, Board Members, Volunteers and Residents, Sisters of Mercy, Christian Brothers,
Payroll 1, Accountant, Vendors, Contractors, and Technicians

Minimum Job Qualifications:

Education: Bachelor’s degree with two (2) years’ relevant experience in community-based and/or nonprofit work or Associate’s Degree with 3-5 years’ relevant experience.

Experience: Experience working with a variety of vendors and stakeholders to ensure timely processing of required documentation while managing tight deadlines. Ability to manage multiple tasks simultaneously while being adaptable to changing work environments, work priorities and organizational needs required.

Experience in accounts payable and receivable.

Skills: Proficient in Microsoft Office products (Word, Excel, Outlook, PowerPoint, etc.) required. Organized with excellent written and verbal communication skills required and the ability to enthusiastically promote

Catherine’s House to outside agencies, all staff, volunteers, and Board Members.
