Accounting & Financial Management:
- Maintain accurate records in accounting software (e.g., QuickBooks).
- Handle accounts receivable (AR) and accounts payable (AP), ensuring timely payments and collections.
- Prepare and send invoices to clients and follow up on outstanding balances.
- Generate financial reports for management as needed.
Software & Systems Management:
- Maintain and update operations and scheduling software for cleaning staff.
- Oversee CRM and marketing platforms to ensure smooth workflow.
- Provide technical support and troubleshooting for office software tools.
Marketing & Social Media Management:
- Manage and schedule social media content (Facebook, Instagram, LinkedIn, etc.).
- Create engaging posts to promote services, company updates, and customer testimonials.
- Monitor engagement, respond to messages, and track social media analytics.
- Assist in developing digital and print marketing materials.
Operations & Administrative Support:
- Process and manage new client onboarding and contract renewals.
- Maintain and organize company documents, contracts, and policies.
- Ensure compliance with company policies and industry regulations.
Supply & Inventory Management:
- Monitor and order cleaning supplies and office inventory.
- Maintain records of supplies used and restocking schedules.
- Communicate with vendors to negotiate pricing and timely deliveries.
Required Skills & Qualifications:
- 2 years of experience in office management, administration, or a related field.
- Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with marketing and social media tools (e.g., Canva, Hootsuite, Meta Business Suite).
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
- Experience in customer service and handling client inquiries professionally.
- Ability to work independently and problem-solve effectively.
Preferred Qualifications:
- Experience in the cleaning industry or a service-based business.
- Knowledge of CRM and scheduling software (e.g., Jobber, Housecall Pro, ServiceTitan).
- Background in basic bookkeeping and financial reporting.
