Central Dermatology Center (CDC) is the largest privately held, physician-owned, multi-site group dermatology practice in central North Carolina. The Director of Clinical Operations (DCO) will oversee every touch point of the clinical delivery of care according to the mission of Central Dermatology Center. The DCO will work closely with those who control non-clinical patient touch points, including directors of administrative services and billing, to ensure that the entire patient experience is optimal. The DCO will directly manage clinical workflows, staff, and site supervisors while ensuring adherence to regulatory compliance, operational excellence, and staff development. Working alongside the CEO and CFO, the DCO will work to increase productivity and limit costs in order to maintain a sustainable and profitable practice.
- Operational Leadership

Serve as a resource for direct reports in day-to-day clinical management.

Analyze daily clinical operations for opportunities to improve delivery of care and work with the ADCO to implement improvements.

Juggle the site placement(s) of providers based on site capacity, demand, practice needs, and provider’s desire or willingness to work in specific sites.

Manage provider schedules with a mandate to fill all available slots, aligning with strategic goals and the needs of patients and providers.

Review and revise clinical workflows with the ADOC with an eye to increasing efficiency and decreasing cost.

Develop and review clinical policies with input of ADOC along with the medical and surgical directors.

Support medical and surgical directors in developing and implementing initiatives.

Conduct monthly medical director meetings and provider meetings (July and December excluded).

Conduct routine meetings with direct reports to address problems and opportunities.

Work with CEO to draft operational priorities and key performance indicators (KPIs).

Manage service lines including the pathology department, SRT, SkinIO, PDT, Xtrac, patch testing, clinical trials, etc., delegating specific tasks to direct reports.
- Staff Development

Working with HR, hire and train direct reports.

Develop and refine training programs for direct reports and their reports.

Conduct and review performance evaluations for direct reports on a regular cadence to be determined by the CEO.

Coach direct reports on team management and how to address underperformance or team conflict.

Identify underperformers and institute corrective action when appropriate.

Assume responsibility for termination decisions regarding direct reports and their reports in consultation with the CEO and HR.

Develop and implement retention strategies for competent clinical staff.

Foster a culture of support, service and accountability.

Ensure regular reporting of KPIs for oneself and direct reports to be shared with the CEO.

- Provider Support

Develop a connection with each provider. Learn their strengths, weaknesses, and priorities.

Adopt a posture of support and service to our key producers.

Tailor solutions to issues of job satisfaction and productivity to meet the joint needs of the provider and practice.

Work with the Medical and Surgical Directors to address provider performance issues.
- Patient Services
- Serve as the primary liaison between patients and providers, ensuring concerns are addressed promptly.
- Monitor patient satisfaction and implement programs for improvement.
- Ensure compliance with healthcare laws and standards.
- Quality and Compliance Oversight

Work with the ADCO to identify annual MIPS reporting measures that are relevant and achievable within practice workflows. Review working MIPS scores with the ADCO on a regular cadence to achieve optimal performance by the end of the reporting period.

Supervise the ADCO on OSHA training and compliance.

Oversee HIPPA training for new hires and annual HIPPA training for all employees. Manage HIPPA breaches.

Manage employee health records in electronic systems.

Support the Surgery and Pathology Departments with non-clinical tasks:

oversee CAP and CLIA certification maintenance.

Ensure compliance with NC Cancer Registry requirements.

- Oversee provider credentialling.

Work with medical directors to meet NCMB APP supervision requirements.
- Facilities, Technology and Equipment

Working with the CEO, manage emergent weather, power, IT, and human contingencies that threaten clinical workflow or safety.

Serve as the primary interface for clinical matters involving the EMR (e.g. EMA) and external laboratories.

Manage the purchase and distribution of clinical supplies to ensure continuous access across appropriate sites.
- Financial Responsibilities

Working closely with the CFO and CEO, identify ways to decrease the cost and increase the profitability of individual sites, personnel, equipment/supplies, technology and service lines.

With HR, oversee management of the payroll and PTO staff interface (e.g., UKG).
- Growth

Provider recruitment and onboarding:

Supervise the steps of recruitment through completion.

Supervise the onboarding of new providers.

- New or existing site expansion:

Work with the CEO and CFO to determine the viability of an expansion from an operational perspective.

Oversee the operational and equipment needs of existing or future expansions.

Work with the CEO, CEO direct reports, and the direct reports of the DCO to operationalize projects that involve clinical staff.
